Accounting Manager
SALARY RANGE $65,000 - $75,000
Wayside Waifs is Kansas City's largest and most comprehensive no kill pet adoption campus. Since 1944, we have been working diligently to partner pets and community for life. Wayside Waifs strives to enrich the lives of abandoned, abused and homeless animals until they find a new family home. We care for more than 5,000 animals every year. Wayside is a private, independent, nonprofit 501 (c)(3) charity with no government funding. We depend on the generosity of the community to continue our life-saving work. Our Mission is preparing pets and people for the bond of their lives. Wayside Waifs is currently seeking to fill the position of Accounting & Administrative Coordinator.
POSITION SUMMARY: The Accounting Manager is responsible for overseeing aspects of the Organization’s financial accounting and reporting. This position will develop and maintain accounting practices and procedures to ensure accurate and timely financial statements. The Accounting Manager supervises the Accounting and Administrative Coordinator position and is responsible for ensuring that work is properly delegated and completed in a timely and accurate manner. This position addresses tight deadlines and a multitude of accounting activities including general ledger preparation, financial reporting, year-end audit preparation, annual tax reporting preparation (Form 990), and the support of budget and forecast activities. The Accounting Manager will have contact with employees at all levels, which requires strong written and verbal interpersonal communication skills.
PRIMARY ACCOUNTABILITIES, TASKS AND DUTIES:
- Ensure the accuracy, timeliness, and completeness of accounting system records including, but not limited to, the general ledger, accounts payable, prepaid, and fixed asset schedule.
- Perform and oversee month-end close entries and prepare monthly financial statements.
- Review prepared invoices for community and municipal partnerships.
- Assist in the preparation of annual budgets and financial forecasts by analyzing historic data, variances, and strategic goals.
- Work closely with an independent audit firm to ensure the annual financial audit and Form 990 are accurate and completed in a timely manner.
- Obtain and maintain a thorough understanding of the financial reporting and general ledger structure.
- Perform monthly reconciliations and adjusting entries.
- Ensure an accurate and timely monthly, quarterly, and year-end close.
- Oversee accounting functions including cash receipts and disbursements.
- Support budget and forecasting activities.
- Review accounts payable and credit card expense coding for accuracy and prepare weekly payment reports.
- Oversee retention and disposal of accounting files per policy.
- Monitor and analyze department work to develop more efficient procedures and use of resources while maintaining a high level of accuracy.
- Provide training to new and existing staff as needed.
- Manage the entire payroll process from start to finish, including data collection, verification, and payment distribution. Ensure accurate processing of payroll adjustments and compensation-related transactions.
- Ensure compliance with federal, state, and local regulations regarding payroll taxes, deductions, and reporting.
- Stay updated on changes in payroll regulations and implement necessary adjustments to ensure compliance.
- Work with a direct report to establish goals and objectives for each year and monitor and advise on the progress to enhance the professional development of staff.
- Manage retail inventory, ensure accurate recording, and reconciliation of inventory balances.
- Develop and implement inventory control procedures to minimize shrinkage, spoilage, and obsolescence.
- Monitor inventory levels and reorder points to optimize inventory turnover and minimize carrying costs.
- Conduct regular physical inventory counts and reconcile variances with accounting records.
POSITION REQUIREMENTS:
Education:
BA/BS in Business, Accounting, or similar; equivalent experience will be given consideration.Technical Skills & Key Competencies:
- Three to five years prior supervisory experience in financial reporting/general ledger. Experience working in the nonprofit sector is preferred.
- Experience with Financial Edge accounting system a plus. Must have strong proficiency in Microsoft Excel and Word.
- Ten key by touch required.
- Must have the ability to build rapport and work effectively with coworkers in a high-stress environment.

- Strong attention to detail and task orientation.
- Ability to work under pressure and manage conflicts when they arise.
- Strong leadership and team management skills.
- Strong communication, interpersonal, supervisory, and customer service skills required.
- Ability to multi-task, work under pressure, and meet deadlines required.
Work in an office setting; travel when required in year-round weather conditions. Use of computer and keyboard; telephone; copy machines and desktop scanner. Potential exposure to fumes or airborne particles. The noise level in the work environment is moderate to high. Ability to lift 50 lbs. Will frequently be working with and exposed to a variety of animals.
