Administrative Specialist

Youthfront is a fun, family friendly, youth organization that has been around for 80+ years. Our staff is a tight knit community that regularly practices prayer and play as we seek to minister with young people and help them discover their unique agency and calling.  We have an immediate need for an administrative specialist. This position is approximately 32 hours a week and eligible for an array of benefits, including health, dental, and life insurance, a 403b retirement plan, generous paid time off, and a monthly allocation for remote work days. Accounting
1.Reconcile bank statements monthly
2.Prepare purchase orders for assigned vendors
3.Coordinate check run with administrative team
4.Initiate online payments as approved
5.Prepare dashboard for Finance Director weekly
6.Assist with counting checks/cash for daily deposit; lead deposit as necessary
7.Enter daily deposit information into Quickbooks
8.Record online bill payments in Quickbooks
9.Reconcile online payment activity daily, provide report for deposit
10.Track A/R and follow up on any missing payments
11.Maintain positive working relationships with key financial vendors and partners
12.Track ministry support accounts and reconcile between accounting and donor systems
13.Assist with preparation of audit schedules and records requests during audit fieldwork
 
Tax & Compliance
1.Calculate, file, and pay monthly sales tax
 
HR & Benefits
1.Submit employee 403b withholding information in conjunction with payroll
2.Enter aggregate payroll data into budget
3.Upload documents to HR files as assigned
4.Set up onboarding events for new hires as assigned
 
Insurance
1.File worker compensation claims, ensuring compliance with federal and state law
2.File participant accident claims, communicating with claimants throughout the process
3.Update insurance policy throughout the year as appropriate
4.Gather information for annual corporate insurance renewal
 
Misc. Administrative Duties
1.Update donor credit card information as needed
2.Update donor EFT information as needed
3.Process camp bucks refunds
4.Assist COO with administrative projects as assigned

 

Job Type: Full Time

Salary Range: $30,000 - 49,999
