Admin Assistant/Receptionist

Job Description
GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:
Reporting to the Office Manager, the Admin Assistant/Receptionist (Part Time) will have responsibility for helping to support the administrative functions of the organization, including assisting with the mail/database processing, facilities maintenance, front-desk reception, meeting organization and planning, and Volunteer and Board support in the Office Manager’s absence.  Hours are Monday - Fridays, 3-5 pm with the possibility of additional hours on an as-needed basis.

Office Manager and Director of Finance/HR
 
SUPERVISION EXERCISED:
None
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
 
  • Provides front-office reception hospitality from 3-5 pm Mondays- Fridays, including greeting visitors and clients, directing them to meeting rooms, and answering the office phone and secured front entry;
  • Provides project support for staff such as gathering grant documentation and organizing case files;
  • Provides backup administrative support to staff by making copies, filing, data entry, etc.;
  • Assists with front office functions such as documenting incoming mail, database scanning, coordinating volunteer support;
  • Assists with taking responsibility for the CASA house, ensuring the physical space is maintained in a manner conducive to the work of the organization and the needs of the staff; and
 
OTHER DUTIES:
Performs miscellaneous job-related duties as assigned.
 
QUALIFICATIONS AND ENTRANCE REQUIREMENTS:
 
  • Some administrative work experience required
  • High School Diploma or GED equivalent required, some college preferred
  • Excellent writing and interpersonal communications skills/customer service skills required
  • Proven ability to work independently and as a team player
  • Proficiency with Microsoft Office suite of programs
  • Ability to handle sensitive and confidential matters
  • Ability to work with a wide variety of individuals from highly diverse backgrounds; experience with the poverty community preferred
  • Must pass CASA background check
