Administrative Assistant

Position Summary:
The Administrative Assistant provides administrative and clerical support for the Senior Leadership Team as needed.    
Minimum Requirements:

  • Bachelor’s degree preferred or combination of education and experience
  • 3-5 years of previous executive administrative assistant experience required
  • Competent in medical/clinical terminology
Essential Functions:
  • Provide general administrative support
  • Receives, greets and directs guests
  • Create agendas and takes minutes at Leadership meetings
  • Places catering orders for meetings and tours. Responsible for Conference room set-up and food preparation prior to meetings
  • Maintains schedule/calendar for Senior Leadership members
  • Schedules meetings, conferences, teleconferences and corporate travel
  • Assists in completing applications, surveys, questionnaires and miscellaneous reports/forms requested by outside agencies
  • Processes check requests for Senior Leadership staff, reviews and collects signatures and submitting credit card receipts and reports to Finance in a timely manner.
  • Maintains inventory of office/meeting/kitchen/Board room supplies; checking stock, anticipating needs, verifying delivery and working with Facilities Coordinator to obtain supplies
  • Troubleshoot executive copier malfunctions and make calls for service and order all necessary supplies
  • Assist with updating and maintaining user programs and troubleshoot discrepancies
  • Follows up on paperwork, completing proper documentation, assisting with compiling information
  • All other duties as assigned by Supervisor, Senior Leadership when required for the operation of the Health Center and/or its Administrative functions.
  • Highly developed writing and excellent proofreading skills
  • Must have strong PC proficiency and MS Office skills
  • Must have excellent organizational skills with attention to detail                        
  • Must be able to type with speed and accuracy
  • Must be able to manage time effectively in order to complete tasks and meet deadlines
  • Must be able to handle and keep extremely sensitive information confidential
  • Must have good interpersonal skills with ability to relate to diverse groups of people and people on all levels
Physical Demands/Working Conditions:
  • Intermittent physical activity including walking, standing, prolonged sitting, lifting of office supplies
  • May be exposed to virus, disease and infection from patients in working environment
  • May be expected to work evening and/or additional hours as needed

Job Type: Full Time

Salary Range: $50,000 - 74,999
