Administrative Support Coordinator - Advancement

Under the supervision of the Chief Advancement Officer, this position will provide administrative and
program support for various programs and to improve the overall functioning of the Foundation’s
corporate office by performing a variety of general office activities.

Primary Function: 

  1. Provide administrative support to all development, strategic partnerships and community fundraising functions as directed by CAO.
  2. Provide administrative support to all areas of the office, as directed by CAO.
  1. Facilitate administrative duties for Directors as assigned.
  2. Accurately use the CRM, including: entering data, updating donor records and running reports. 
  3. Effectively handle in-bound and out-bound donor communications.
  4. Support distribution of donor cultivation and stewardship mail/email pieces.
  5. Review and support the accurate processing of donor gift acknowledgements and tribute activity reports.
  6. Prepare Director receipts and prospect materials as directed.
  7. Maintains schedule and applications for state charity registrations.
  8. Manage all onsite donor files.
  9. Demonstrate ability to continually improve processes.
  10. Have a strong understanding of the information/reports that can be pulled from the database through CRM.
  11. Answer incoming calls.  Seek to assist callers and serve as a referral bridge as necessary.
  12. Distribute daily mail.
  13. Process outgoing shipments (UPS, FedEx, USPS, etc).
  14. Process daily donations.
  15. Perform office facility non-janitorial tasks as assigned.
  16. Other administrative and clerical duties as assigned.
 Ideal Qualifications: 
  1. Bachelor’s degree preferred or equivalent combination of education and experience.
  2. Two years experience in not-for-profit field or minimum of three years of professional experience.
  3. Must have excellent verbal and written communication skills and excellent computer skills.
  4. Ability to work in a team environment.
  5. Advanced problem solving skills.
  6. Be self-motivated and punctual.
  7. Experience with donor software preferred.
  8. Demonstrated proficiency in Microsoft Word and Excel required.
  9. Prior experience with fundraising databases preferred.
  10. Familiarity with basic office equipment.
