Event & Operations Manager
American Public Square (APS) is a programming organization that produces dozens of community events in the Kansas City area each year.
We are a 501 c3 organization, and our mission is to improve the tone and quality of public discourse in our community. We do this by hosting public programs and connecting community members with tools and resources to strengthen civil society. APS is currently seeking a dynamic, detail-oriented professional to help plan and manage our lineup of programs, and to keep our general operations running smoothly to support our tight-knit, fast-paced and excellence-oriented employee culture. Event Planning & Management
- Attend and oversee event logistics at APS events—usually, these events take place on weeknights between 4-8pm, 2-3 times per month
- Oversee event set up and break down
- Oversee event check-in, greeting, seating and Member engagement at in-person events
- Prepare and distribute panelist thank you gifts
- Transfer program registration/attendance data to CRM platform and program metrics documents
- Develop and maintain knowledge of a list of local venues/pricing for APS programs
- Secure travel plans and develop/manage travel itineraries for APS panelists
- Secure vendors needed for venue, food, beverage, photography and handle contracts for ED to sign
- Support Program Director in tracking and managing event budgets
- Conduct targeted outreach via phone, email and media relations ahead of APS events to drive attendance and public awareness of programs
Office Management
- Support administrative processes as outlined by Executive Director, including payment processing, donor acknowledgement and communications, membership management and some bookkeeping
- Donor Perfect CRM platform subject matter expert (SME)
- Work with Executive Director to complete any documentation required for audits and tax filings
- Work with Accountant to complete Census Surveys and Insurance Surveys-quarterly
- Manage inventory of event supplies and marketing collateral
- Schedule and assist in planning staff, board, and committee meetings
- Book conference rooms & external meeting venues when needed
