Who we are seeking
An Executive Assistant to provide key level support to the work of Community LINC’s directors while reporting directly to the CEO. The successful candidate will be a proactive individual with strong follow-through skills, the ability to provide high-level executive support, the ability to complete complex and sensitive tasks / projects and will have the following characteristics:
Organizational Support
·         Pro-actively performs organization and administrative duties by completing a high volume of tasks and projects with little to no guidance, anticipating next steps, taking initiative, exercising discretion, sound judgment and working collaboratively as a member of the team
·         Provides administrative support for all agency efforts and events
·         Assures discreet handling of all confidential business matters as well as conversations
·         Assists in creating company-wide communication, including emails, letters and related correspondence
·         Manages schedules and calendars in a fast-paced ever-changing environment. 
·         Arranges logistics, schedules, and meetings including meeting invitations, room set-up, agendas, etc.
·         Promptly answers phone calls, responds to messages, and provides information to callers or routes calls to appropriate staff.
·         Reviews and manages emails and postal mail. Proofreads for the leadership team for consistency, grammar, and spelling.
·         Maintains inventory and purchases of office supplies.
·         Serves as Board Liaison - communicating with board and committee members as well as ensures organizational compliance related are managed in conjunction with the Sr. Accountant and CEO
Operational Support
·         Ensures donor stewardship by assisting in the timely gift acknowledgement and reporting process
·         Input data into FundVision – maintaining donor data accuracy, daily journal entries of donations and gifts, batch posting to accounting system, make adjustments, create monthly entries as well as capture donor information
·         Prepares special reports, gathering, inputting and summarizing data utilizing FundVision (Investor Database application) as well as using the appropriate Microsoft Office software (Word, Excel, PowerPoint, Access, Outlook, etc.)

• Maintain a high level of professionalism, discretion, and confidentiality while presenting a positive and open presence.
• Possess the ability to anticipate needs and pro-actively follow through on assignments as critical to success in this position.
• Able to interact with all levels of the organization, respond well to pressure, be resourceful and efficient, as well as maintain a high level of professionalism and confidentiality
• Possess expert level written and verbal communication skills; strong decision-making ability and attention to detail are equally important.
• Be adaptable to an ever-changing environment
•  Focuses on delivering results and making a positive impact on the workplace
·         Minimum of 5 years of experience as an Executive Administrative Assistant providing support to executive levels using advanced levels of Microsoft Suite (Word, Outlook, Excel, PowerPoint, and Access)
·         Associate's Degree or Bachelor’s Degree
·         Superior communication, presentation, organization, multi-tasking and problem-solving skills
·         Ability to compose and/or proof correspondence which reflects the professionalism
·         Ability to work independently as well as collaboratively
·         Ability to maintain privacy and confidentiality.
·         Must have a valid Driver’s License
Physical Demands
Ability to drive and may need to move around intermittently during the day, including for extended periods of sitting, standing, stooping, bending.
