Music Coordinator - Village Church, Mission Campus

Job purpose 

The Music Coordinator provides administrative and organizational support for the Music Ministry.   
 

Duties and responsibilities 

Office Management 

  • Process phone and email inquiries 
  • Work with the business office to timely process deposits, expenses, reconcile VISA statements, prepare checks for independent contractors and review departmental financial reports 
  • Keep inventory of supplies, making orders when necessary 
  • Manage requests of music staff and affiliated music groups regarding scheduling of various church spaces for practices, rehearsals, concerts and other musical events and work with church scheduling coordinators and facilities department to schedule events and arrange for proper room set up 

    Music Library and Robe Room Management 
  • Order, catalogue and file sheet music and other department resources 
  • Report music performed to comply with copyright license requirements 
  • Facilitate and coordinate work of volunteer librarians 
  • Manage distribution and collection of music used by ensembles and directors 
  • Maintain up-to-date lists of robe and music folder assignments 
  • Prepare robe room table for Sunday mornings with sign-in sheets, bulletins and service music 

Rehearsal, Service, Concert and Event Operations 

  • Manage Music Ministry Calendar in coordination with Event Set-ups in cooperation with church schedulers 
  • Serve as primary host for major concerts & events, organizing other leadership when needed 
  • Recruit and organize volunteer concert ushers 
  • Compile program information for concerts and recitals and work with communications department to create and publish programs 
  • Collaborate with other departments and volunteers as necessary to ensure success of concerts and other musical events 
  • Maintain schedule of piano, harpsichord, handbell, and organ maintenance 

    Volunteer Management and Care 
  • Serve as main point of contact for communication with volunteers, with a high level of sensitivity to personal, and sometimes private, matters of care and concern 
  • Maintain accurate records of music ensemble and volunteer participation 
  • Give special care, welcome and information to people inquiring about participating in choirs, ensembles, and other groups 

    Qualifications 
  • Able to support the mission and ministry of Village Presbyterian Church and models the church’s values 
  • Bachelor’s Degree 
  • Proficient in Microsoft Office Suite (esp. Excel, Outlook, and Word) and able to learn other software 
  • Excellent organizational, and communication skills  
  • Able to prioritize and meet deadlines, troubleshoot, problem solve, and offer innovative solutions  

 

Working conditions and Physical Requirements 

This 40 hour per week position with frequent evening and weekend responsibilities 

This position requires a high level of love, patience and understanding for volunteers and lay people.  

Work involves extended time sitting in an office 

Bending, stooping, lifting up to 25 pounds

Salary Range: $30,000 - 49,999
