Philanthropy Department Administrator/Project Specialist

The Philanthropy Department Administrator / Project Specialist will be a key member of the Kansas City Public Library’s 4-person Philanthropy Team and will assist the Library Director & Chief Executive with management of special projects. Primary responsibilities include providing project-based, administrative, and logistical support to the Philanthropy Department and managing special institution-wide projects and initiatives on behalf of the Library Director.

This is a full-time exempt position. Salary is $58,796 DOQ plus excellent benefits. Position open until filled.
What You’d Do
The duties of this position fall into several key areas.
Philanthropy Team Support

  • Support the Deputy Director for Philanthropy and the Philanthropy department by arranging and preparing for meetings, taking notes at meetings, generating reports, tracking portfolio progress, and managing departmental calendars.
  • Assist with major annual events & special projects
  • Secure meetings with donors and partners for the Deputy Director and Library Director
Grants Management Support
  • Manage submission, reporting, and metrics deadlines
  • Collect data/storytelling/budget info for reporting
  • Track implementation and compliance for grant-funded projects
  • Prepare internal and external progress reports
  • Perform internal and external project and donor research
  • Gather information, drafting, and editing grant and donor reports
Gift and Donor Data Management
  • Enter and manage donor information and assemble data for staff and board reports, donor invitations, donor appeals, and other donor communications. Occasionally coordinate donor or prospect engagement events.
Management of Special Projects for Library Director
  • Assist Library Director with projects such as implementation of the Strategic Plan, the 150th Anniversary celebration, and with recurring and one-time events and programs.
  • Ability to organize work effectively, and plan and execute programs and activities.
  • Considerable knowledge of the principles and practices of organizational fund raising and development.
  • Considerable knowledge of grant writing.
  • Significant knowledge of available and potential funding sources.
  • Superior writing and public speaking ability.
  • Proven skills in goal identification and achievement with strategic planning and organization of multiple projects.
  • Ability to work independently as well as part of a team to complete major projects and manage competing timelines and requests.
  • Applicant must demonstrate strong technical writing skills.
  • Experience working with donor databases and mastery of project management software are required.
  • Other attributes needed include keen attention to detail, willingness to take initiative, outstanding interpersonal skills, and ability to think strategically.
  • Additional consideration will be given for candidates possessing Project Management Professional (PMP), Grant Professionals Certification (GPC), or similar certifications.
  • Minimum qualification include a Bachelor’s degree in a related field and considerable successful experience in grant writing and major gift solicitation. This requirement may also be met by an equivalent combination of education, work experience, and life experience.
