Receptionist

Receptionist
Department: Youth Development
Reports to: Director of Youth Development and Recreation Programs
Supervises: 0
FLSA Status:  Non-Exempt; hourly
 
Summary: Maintain all front desk customer service, including answering and directing phone calls, operating secured locked doors, participant records/data, and greeting families as they drop off their children.
 
Essential duties and responsibilities:  
  • Assist the Director with administrative duties such as reports, and letters, receiving materials and distributing mail, coordinating zoom meetings, etc.
  • Answer multi-line telephone in a timely, courteous and professional manner.
  • Accurately answer and transfer phone calls to the appropriate person or take and deliver concise messages. 
  • Perform responsibilities knowing that all communications are potentially sensitive and subject to GCI's policy on confidentiality.
  • Ensure that all visitors sign in.
  • Operate secured locked doors to allow access to approved families and visitors.
  • Keep the area clean and clear of obstructions that might impede traffic flow and safety considerations.
  • Post and maintain current program information within the facility while collaborating with the GC Marketing department for postings on the GC website and social media platforms.
  • Maintain a supportive, professional relationship with staff, children, and families. 
  • Maintain confidentiality regarding all aspects of the program.
  • Attend professional development and training as required.
  • Exhibit flexibility to quickly interchange assigned tasks as needed. 
  • Perform other duties as assigned

Qualifications: 
  • High School Diploma or equivalent required
  • Associate’s Degree or 2 years experience in a school setting is preferred.
  • Bilingual (English/Spanish) verbal and written skills are required.
  • One to 3 years of experience working as a receptionist and/or administrative assistant is preferred.
  • Ability to use Microsoft Office: Word, Excel, PowerPoint, Google Suite, Gmail, Zoom, etc.
 
Work Environment:
This job operates in a Youth Education and Recreational environment. Guadalupe Centers serves a diverse population, including children, adolescents, and adults, some of whom may have mental or behavioral health challenges. Consequently, all GC staff must demonstrate appropriate daily behavior, appropriate expression of emotions, and appropriate role modeling.  Hostility, aggression, unnecessary or inappropriate physical actions and problematic emotional expression are unacceptable behaviors for our employees. 
 
Physical Demands:
The candidate will be sitting and walking to filing, copies, attending to visitors, and receiving children.  Must be able to lift objects up to 25 pounds.
