Special Projects Clerk

The Salvation Army Mission:

Job Objective:  To process all applications for Fuel Fund programs and provide administrative and secretarial assistance to the Emergency Assistance/Special Projects Manager
Essential Functions:

  • Provide all aspects of clerical and secretarial support to the EA/Special Projects programs including various office services such as copying, correspondence and filing
  • Provide mail delivery/pickup to and from DHQ, sort mail and disseminate throughout the Linwood Center
  • Complete all processes of fuel funds programs from application to report compilation
  • Enter all fuel fund assists in the MAACLink management information system
  • Process fuel fund check requests and invoices
  • Collect and report all fuel fund and season activity data for the internal and external reports and Salvation Army statistics
  • Maintain the security of confidential data regarding clients served
  • Receive and process corps requests for bus passes
  • Participate in the rotation for the Linwood Center switchboard and receptionist coverage
  • Maintain the database and process paperwork for all seasonal event and special projects including holiday meals, Project Warmth coat distribution, fan drive, etc.
  • Exercise courtesy and tact in regular contact with other employees, clients or volunteers on routine matters and occasional contacts with individuals outside the organization furnishing or obtaining factual data
  • Make preparations for events and/or meetings as assigned
  • Other duties as assigned 
Minimum Qualifications:
Education:  Minimum high school education or GED 

Minimum two years of experience in a clerical position.  Prefer previous experience in a social services setting.  Knowledge of operation of office equipment such as personal computer and computer software applications such as MS Office, Excel, Power Point and Access is required. Type 40-65 WPM with accuracy.  Experience maintaining and operating office equipment is preferred.

  • Proficient verbal and written communication skills in Standard English
  • Time management skills and ability to handle multiple demands and priorities
  • Ability to interact positively with co-workers, other departments, and community partners
  • Ability to work with people of diverse racial, ethnic, and socioeconomic backgrounds in a sensitive and culturally appropriate manner
  • Ability to compile reports using the computer
  • Ability to operate office equipment including telephone, personal computer, copier, fax, and scanning equipment 
Supervisory Responsibility:  None
Physical Requirements:  Include sitting, walking, standing, bending, squatting, climbing, kneeling, and twisting; grabbing, pushing, and pulling up to 25 pounds; reaching overhead.  Reasonable accommodation may be made to enable individuals with disabilities to perform the essential job functions.
Travel:  Daily travel less than 15 minutes required
Driving:  Must hold a valid driver’s license from the state of residence. Must be approved and maintain approval through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business. 
Working Conditions: Work is performed in a typical office environment.  Involves basic and highly repetitive duties requiring the use of definite procedures and individual judgment where work involves little or no choice as to the method of performance.  Under general supervision proceeds alone on regular duties, referring questionable situations to supervisor or others. Probable errors or quality of work problems are usually detected and confined to a single activity with most of work verified or checked.  Flow of work involves normal mental and visual attention with moderate number of interruptions and job related stress factors.  Workload is predictable and manageable.
