Job Description Summary:
The manager reports to the Director of Alumni Relations and will manage and execute a wide range of events designed to cultivate positive relationships with KU Medical Center alumni, students and constituents. The manager also serves as the alumni officer for the Schools of Health Professions and Nursing working with students, alumni, faculty and staff to promote programming and membership. The manager will have direct accountability for the supervision and growth of the KU Health Professions and KU Nurses Alumni Board of Directors. This position manages the Baby Jay mascot program including supervision of student employees, maintaining the appearance schedule and coordinating event logistics. The manager serves as the project lead for the KUMC Alumni Awards process and co-leads the campus common reading program, KUMC One Book. The anticipated hiring range for this position is $60,000 - $70,000

Job Description:

Required Qualifications:

• Bachelor's degree in business, communications, marketing or related discipline, or equivalent year to year related work experience and a minimum of five years of event experience with increasing responsibilities.

• Experience in staff supervision and managing event related budgets.

• Demonstrated ability to communicate effectively, both verbally and in writing. Strong organizational and time management skills. Ability to coordinate multiple tasks simultaneously and manage competing and shifting priorities.

• Ability to establish and maintain effective relationships with internal and external constituencies while providing the highest level of customer service.

• Proficient with Microsoft Word applications, spreadsheets and databases.

• Occasional evening and weekend hours are required.

Preferred Qualifications:

• Alumni relations, event management and constituent relations experience. Special consideration will be given to candidates with experience in higher education and/or academic medical center.

Position Responsibilities:

Develop and oversee the planning of live or virtual events and meetings for the KUMC Alumni Association. Define the strategy and tactics to achieve event objectives. Coordinate with campus partners (KU Endowment, KU Alumni Association, Office of Student Life, Office of the Executive Vice Chancellor, Office of Continuing Education) to execute events with a shared goal of providing outreach and engagement to our constituents. Establish and foster relationships to maintain a network of vendors both internally and externally; negotiate contracts and other event support services. Create and manage all event planning details including registration, programming content, guest speaker coordination, volunteer recruitment and training, budget management and financial transactions, lead staff for day-of activities and post-event follow-ups.

Serve as the event manager for Alumni Weekend activities to enhance the profile of the University with its alumni and guests. Create and manage the project task timeline, along with preparing and managing the budget and finances to ensure successful event execution. Develop registration logistics and manage details and dataflow of the event registration database. Manage vendor relationships with contract negotiations and working collaboratively. Design campus events and programming. Recruit alumni class coordinator volunteers to plan details, secure venues and catering and promote class events. Manage logistics for visitors including hotels, parking, and accessible walking routes. Work in collaboration with the Executive Vice Chancellor's Event Manager to produce annual alumni awards luncheon.

Serve as the alumni officer for the KU Schools of Health Professions and Nursing working with students, alumni, faculty and staff to promote programming and membership. The manager is lead staff person to the Health Professions and Nurses Alumni Boards, charged with planning the board meetings, developing membership appeals and supervising programming. Operate as the liaison for the Schools of Health Professions and Nursing deans, faculty and staff.

Co-lead the Alumni Awards process with the School of Medicine alumni officer. Manage the call for nominations, collecting nominations and staffing the selection committees for the Schools of Health Professions and Nursing. Serve as the liaison for the selected award recipients, including managing all communication and collecting required awards materials. The manager will lead all aspects for the alumni awards video by supervising vendors, coordinating video participants and overseeing the production.

Co-lead for KUMC One Book, the common reading program on the KUMC campuses in Kansas City, Salina and Wichita. Participate in the book selection committee, oversee book distribution and serve as the main contact for campus partners. Collaborate with the EVC's Event Manager for book discussions and Peter T. Bohan Lecture planning and logistics.

Collect and analyze feedback regarding events, communications, or other department activities. Work with the Digital Media & Marketing Coordinator to design surveys that encourage honest and beneficial input from constituents. Synthesize findings and develop recommendations for future program improvement.

Manage the Baby Jay mascot program including supervising student employees, maintaining the appearance schedule and coordinating event logistics. The manager serves as the lead contact for the student employees and departments requesting appearances on campus. Other duties include recruiting and training student employees and maintaining the costume.

General office duties to include responding to phone inquiries and correspondence with alumni and KU Medical Center internal/external constituencies. Distributing mail, provide back-up assistance for processing alumni dues and deposits.
