Events and Engagement Coordinator

The Events & Engagement Coordinator is responsible for planning and coordinating alumni, parent, and donor relationship events to support, encourage, and enhance their engagement with Avila University.


Principle Responsibilities:
  1. Lead staff person in implementation of all details of all events held by the Advancement & Alumni Relations department. Also, play a lead role in strategizing for virtual and new engagement events.
  1. Work closely with Senior Director of Development & Alumni Relations to manage Steer Dinner.
    1. Manages logistics and pre-event planning activities with vendors and hotel event planning.
    2. Oversees all auction item solicitations, pick-up, pre-event organization, setup at the event and post event follow up.
    3. Manage a committee of volunteers that assists in outreach for auction items, and recruit and train student volunteers at the event.
    4. Assist in recruitment of alumni to attend, support, organize tables, and volunteer at the event.
    5. Serve as lead staff person for registrations and night of registration/check-in area, and event volunteer management activities.
  1. Event Planning and Production
    1. Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, and ensure appropriate décor (florals, linens, color schemes, etc.) meet the quality expectations for the event.
    2. Assist with preparing budgets and track event finances including check requests, invoicing, and reporting.
    3. Assist with managing on-site production, including event materials, clean up, and close out for events as necessary.
  1. Manage the Advancement & Alumni webpages and social media.
    1. Assist with promotions of events through web and social media postings.
    2. Ensure accuracy of Advancement & Alumni Relations webpages on university website.
    3. Create engagement opportunities on Avila Alumni social media pages.
Qualifications Bachelor’s degree or related experience.
Must have superior interpersonal, organizational, and communication skills plus the ability to work independently and as part of a dynamic team.  Excellent writing skills a must. Creativity a plus and flexibility to work evenings and weekends as needed.
Experience: Three years of related experience.
Proficiency with Greater Giving and Raisers Edge a plus.  Experience in a fund raising atmosphere or higher education a bonus.
Salary Commensurate with experience
