Events and Promotions Director
Organizational Overview:
The Downtown Overland Park Partnership (DOPP) is a 501(c)(6) nonprofit organization committed to fostering economic vitality, community engagement, and urban beautification within the Downtown Overland Park Business Improvement District (BID). Through strategic initiatives and partnerships, DOPP aims to enhance the overall experience of Downtown Overland Park for residents, businesses, and visitors.Position Summary:
The Event and Promotions Director is a key member of the DOPP team, responsible for the planning, execution, and promotion of events and campaigns that support the organization’s mission. This position requires a dynamic and highly organized professional with demonstrated experience in event coordination, marketing, and community engagement. The role offers a high degree of autonomy and is ideal for an individual with strong leadership skills and a passion for creating impactful community experiences.Primary Responsibilities:
Event Management
- Along with the Event Activation Coordinator plan and execute a variety of public and private events (e.g., festivals, parades, seasonal celebrations, member events).
- Oversee all logistical aspects including budgeting, permitting, vendor management, staffing, volunteer recruitment, and on-site execution.
- Proactively identify potential risks and develop contingency plans to ensure successful delivery.
- Lead and support event committees, providing training, guidance, and performance oversight.
- Develop and implement comprehensive promotional strategies for events and initiatives.
- Collaborate with the Event Activation Coordinator and Marketing Coordinator to produce marketing materials and manage content across print and digital platforms.
- Ensure event details are accurately maintained on the DOPP website and other relevant channels.
- Cultivate and manage relationships with media outlets, sponsors, and community partners.
- Responsible for the internal and external DOPP newsletter.
Administrative and Strategic Support
- Work in close collaboration with the Executive Director to align events and promotional efforts with organizational objectives.
- Act as a brand steward to ensure consistency and integrity in all public-facing materials.
- Monitor and report on the effectiveness of promotional activities and recommend improvements.
- Contribute to the development and refinement of internal workflows and operational procedures.
Qualifications:
Education and Experience:- Bachelor’s degree in Marketing, Communications, Event Management, Business Administration, Public Relations, or a related field; or a minimum of four (4) years of relevant professional experience.
- At least two (2) years of direct experience in event planning, promotions, or a related role.
- Exceptional organizational, time management, and project coordination skills.
- Strong interpersonal and communication abilities, both written and verbal.
- Ability to lead teams, motivate volunteers, and represent the organization professionally in public settings.
- Proficiency in Microsoft Office, Google Workspace, and digital marketing platforms.
- Capable of managing multiple projects simultaneously and adapting to changing priorities.
- Creative, resourceful, and results-oriented.
- Demonstrated ability to work independently while also being an effective team member.
- Commitment to DOPP’s mission and a passion for community-focused work.
- Must be able to lift and transport equipment weighing up to 40 pounds for various community events.
Working Relationships:
This position requires regular collaboration with DOPP staff, interns, volunteers, members of the Business Improvement District (BID), the City of Overland Park, Overland Park Chamber of Commerce, Visit OP, and other external stakeholders.Performance Evaluation:
- Initial 90-day probationary review.
- Annual performance evaluations conducted by the Executive Director or as needed.
