Executive Administrator, NACD Heartland Chapter

The Opportunity

The Heartland Chapter of the National Association of Corporate Directors Board seeks a full-time Executive Administrator.  The position, which is offered on an independent contract basis, supports the Heartland NACD Board, members, and programming and operations, and is key to the Chapter’s ability to carry out its mission and strategic objectives.

The National Association of Corporate Directors is the premier not-for-profit membership organization dedicated to the development and education of corporate board directors.  The Heartland Chapter provides local educational programming and networking opportunities to its members, with a service area comprised of Missouri, Kansas, Oklahoma, Nebraska and Iowa.

In collaboration with the NACD Heartland Chapter Board of Directors, the Executive Administrator works to deliver on the NACD Chapter mission: Serving as the center of gravity and knowledge exchange for local directors by convening world-class NACD Programs.  
Accountabilities; Role

The Executive Administrator reports to the Chapter Board Chair and provides administrative support for all Chapter events, committee interdependencies and sponsor engagement with a leadership presence.  This is a hands-on administrative role that requires exemplary technology and software skills.

The role requires strong attention to detail, keen organizational skills, and demonstrated poise, tact, and diplomacy. The Executive Administrator must be able to work in a dynamic, fast-paced environment with the ability to juggle multiple competing tasks and demands.  Maintaining confidentiality for the director members and sponsors is key. The position requires flexibility and availability consistent with the needs of executives and corporate directors.

As the Heartland Chapter of NACD does not maintain an office, this is a virtual role.  The candidate must supply a reliable laptop and provide an environment for frequent virtual and phone meetings. When in person meetings resume, travel to local events can begin as early as 7:00 a.m. or end as late as 9:00 p.m., with occasional overnight travel.

In addition, the Executive Administrator:

  • Serves as a go-to resource to board members, major sponsors, event panelists and Heartland Chapter members. Works collaboratively with the regional representative of the national NACD organization.  Represents the Heartland Chapter with professionalism and excellence.
  • In addition to Kansas City, supports developing markets of the Chapter service area, including St. Louis; Des Moines, Iowa; Omaha, Nebraska; and Tulsa, Oklahoma.
  • Supervises the Event Coordinator, who provides support to the Programming and Membership Engagement Committee Chairs.  All are responsible for the successful implementation of in-person and virtual professional panels and networking events.
  • Serves as the liaison to the regional director of the NACD national office. Effectively advocates Heartland Chapter needs to the regional director. Utilizes national office resources to achieve Heartland Chapter goals including members services, research, chapter advancement, director recruitment and board advisory services.  Attends the NACD annual Global Leaders Summit.
  • Supports the Sponsorship Committee Chair in ensuring that the Chapter maintains a healthy and robust sponsorship program across the service area.  Ensures the timely development of the annual list of sponsor benefits and pricing, manages sponsor contacts and tracks sponsor benefits.
  • Calls on Sponsors with the Sponsorship Committee Chair and oversees coordination of sponsor involvement in programming and networking by the event coordinator. Conducts onboarding with new sponsors.
  • Supports the development and oversight of the board budget. Ensures that sponsor fees are collected on a timely basis.  Ensures that all required information is submitted to the bookkeeper on a timely basis. Submits budget reports to the national organization.
  • Oversees Chapter communication to NACD national, sponsors and Board of Directors, as well as membership marketing.  Responsible for creating, scheduling and sending Chapter email blasts.  Coordinates program event communication with the event coordinator.  Partners with the national NACD marketing department to ensure communications are consistent with NACD brand standards.  Effectively utilizes social media tools and maintains the Chapter website. 
  • Supports the operations of the Board of Directors by creating, publishing and updating an annual calendar of Board and Executive Committee meetings, committee meetings, and the annual strategy meeting.  Coordinates program meeting schedule with the event coordinator. 
  • Sends invitations for all meetings, ensuring that meeting locations, phone numbers or virtual meeting details are accurate and timely.  Tracks meeting acceptance and attendance.  Maintains a current roster of board members and Chapter ambassadors.
  • Creates and communicates work-back schedules to prepare and send pre-read materials for board and executive committee meetings.  Ensures that pre-read materials are sent in a timely manner.  Creates Power Point documents, including the agenda and other materials as necessary. 
  • Attends meetings, takes minutes and creates action lists that drive goal completion.  Sends timely gentle reminders to owners of action items to complete them. 
  • Provides support to the Board Chair, Nominating Committee Chair, the Finance Committee Chair and the Sponsor Committee Chair by conducting research, data analysis and other projects as needed.
  • Ensures onboarding materials for new board members are up to date.  Schedules onboarding sessions with the Nominating Committee Chair and new board members. Attends onboarding meetings. 
  • Administers the Heartland Chapter board portal. Maintains Chapter governance documents, sponsor contracts, onboarding guidebooks for new board members and sponsors, meeting documents, strategy documents and other guidelines. 
  • Ensures the timely development of annual scorecard goals. Provides information to  Programming, Membership Engagement and Sponsorship Committee chairs as requested and coordinates their involvement in jointly recommending and tracking goals.
Qualifications and Required Experience

The successful candidate will demonstrate high ethical standards and professionalism at all times.  S/he will offer experience supporting senior executives and high-level volunteers in corporate and/or nonprofit environments.  In addition, the candidate will demonstrate:
  • Ability to quickly learn, administer and vet new software programs such as the board portal.
  • Self-motivated, action oriented, and organized, accompanied by the ability to create a task list and execute it.
  • Ambitious and detail oriented; willing to learn and initiate new and improved processes where needed.
  • Ability to approach unfamiliar situations and problems creatively. A fundamental understanding of measurement and data-informed decision making.
  • Must have experience working in fast-paced environments where the utmost discretion and confidentiality are required.
  • Enjoy the role of a gate-keeper while still maintaining good relationships with diverse constituents.
  • Associate’s degree (Bachelor’s preferred) or its equivalent plus a minimum of 5 years’ experience with education program development or event management and experience supporting senior executives in program management or other commensurate work.  Will consider an equivalent combination of education and experience. CAE certification a plus.
  • Experience with member-focused or client service organizations.
  • Experience supervising another employee and outsourcing work.
  • Excellent proficiency in MS Office (MS Word, MS Excel. MS PowerPoint and MS Outlook) and social media tools
