Job Description — Executive Director
Definition of Position
The Executive Director of the Friends of Chamber Music Kansas City (FCMKC) serves as chief administrative officer for the organization in support of the artistic mission and vision as set forth by the Board and the Artistic Director. The Executive Director is a resident of the Kansas City community and takes responsibility for administration and policy development of the organization and its day-to-day operations (i.e., concert production and venue logistics, budgeting and financial management, marketing, personnel management, contract development and review, record keeping, and the like). Alongside the Board, the Executive Director oversees fundraising planning and implementation. The Executive Director works in partnership with the Artistic Director and reports to and attends meetings of the Board, participates in Executive and Finance Committee meetings, and other Board committee meetings as needed and requested.
Areas of responsibility:
Administration
? Hire, guide, supervise and oversee all administrative staff and volunteers (i.e., development, marketing, box office, production, etc.)
? Promote a healthy and welcoming office environment.
? Ensure that all legal and fiduciary responsibilities and obligations of the corporation are carried out.
? Develop the annual and multi-year budgets in a timely manner in consultation with the Artistic Director and Finance Committee of the Board.
? Oversee financial management and reporting.
? Work closely with all staff to ensure seamless customer service and communication with the public.
? Make decisions regarding administrative and program space, in consultation with the Artistic Director and Board.
? Meet regularly with the Board of Directors and its committees.
Development
? Spearhead development strategy, large and small-scale initiatives and donor engagement, in consultation with the Board.
? Set annual development goals and oversees fundraising initiatives and the work of Director of Philanthropy.
? Oversee corporate and foundation fundraising including prospect identification, grant writing, grants management, and reporting.
? In consultation with the Board, engage the Artistic Director as needed in fundraising activities, including developing prospective and current donor relationships with individuals, corporations and foundations.
? Manage – with appropriate staff – fundraising record keeping and statistics from year-to year.
Events, Concerts, and Production
? The Executive Director is a partner with the Artistic Director in creating an environment that can bring top-notch artistic talent to Kansas City and facilitates their finest expression.
? Oversee operations for concert presentations such as lodging, venue rental, and logistics.
? Oversee and develop procedures to ensure that all concert and rehearsal details are in order, including venues, page turners, piano rentals, piano tuning, equipment, green room set-up, and the like.
? Provide – with appropriate staff – sales reports, ticketing functions, marketing, and sponsorship activities.
? Attend concerts to oversee staff and volunteers, provide the public face for the organization, and build relationships with patrons.
? Oversee all audio and video recording services, photography, and any additional subcontracted help.
? Maintain all archives: recordings, programs, and related materials.
Marketing
? Manage and be responsible for all public relations activities.
? Develop and implement a plan for keeping website, social media and other electronic communications up to date, error-free and innovative, including strategic scheduling of interviews to promote education about and the marketing of artists/programs of FCMKC.
? Ensure that all marketing efforts are aligned with the artistic vision and mission of the organization.
Education and Community Programming
? Supervise – with appropriate staff – all education and community programming.
? In consultation with the Artistic Director, develop community and educational programming concepts and program ideas to be inclusive and appeal into a broad segment of the community.
? In consultation with the Artistic Director, identify and encourage potential partner organizations for shared education and community activities
? Integrate performance and educational functions whenever possible in partnership with the Artistic Director.
? Pursue relationships with corporate, non-profit, educational and other arts partners.
