Finance & Operations Director

The Finance & Operations Director is responsible for the day-to-day financial management and operations of the Affiliate.  The Finance & Operations Director ensures accurate and timely accounts payable, accounts receivable, reconciliations, journal entries, community grant payouts, support with the annual Affiliate budget preparation and annual year-end closeout.  They serve as the staff liaison to the Finance Committee, organizing bi-monthly meetings and timely reporting to the Treasurer and CEO/ED on a monthly basis. 
 
The incumbent serves as the point of contact facilitating communications with the Affiliate’s broker, all benefits administered to staff, management of the investment portfolio, and all contracts with vendors to operate the business side of the Affiliate.  Management of the database (Salesforce), reporting on funds raised and timely gift processing. The incumbent will spend 60% of their time on financial management, 20% of their time on CRM Management, and 20% on operations.

Duties and Responsibilities
  • Financial Management – Oversee all financials for the Affiliate; manage the budget, track weekly expenses to ensure an expense ratio is met; process all payments (accounts payable) and ensure appropriate documentation and tracking takes place.  Management of all accounting facets of the Affiliate including both revenue, expenses, reconciliation, reporting and tracking is taking place. Oversees daily cash management, the status of bank accounts and investments.  Produces and distributes monthly financial statements, budget variance analysis, and forecasting in conjunction with Board Treasurer and CEO/ED.
  • Gift Processing – Process all gifts into the corresponding Affiliate systems; ensure 24-48 hour acknowledgment of gift to donor and weekly reporting to the CEO/ED takes place.  Implement gift processing best practices across the Affiliate to ensure the professionalization of donor acknowledgment and tracking. 
  • Software Platform Management – oversee and manage platforms used by the affiliate for financials including PeopleSoft (Finance); CashPro (deposits); Bank of America (merchant services and bank account); and Salesforce (CRM).  Serve as the point of contact for all and work in all platforms according to the requirements by the affiliate and headquarters. 
  • Contract Oversight – Manages office contracts including – negotiating fees for service, RFP bid process for vendors, office needs, etc.
  • Signature Fundraising Events Support – Provide support via gift processing, timely acknowledgments to participants, donors, and negotiate contracts with vendors for the events; pay invoices, monitor expense ratio and provide reports on outcomes of the event (# of participants, Funds raised, Net/Gross, New Partnerships, etc.)
  • Volunteer Management - Co-leads and supports the operations of the Finance Committee in conjunction with Board Treasurer.
  • Other - Performs other duties as assigned.
Position Qualifications
  • Bachelor's Degree in Finance or related work experience
  • Minimum of three (5) years of professional experience in bookkeeping, accounting or related field
  • Detail-oriented, organized, with the ability to manage competing demands
  • Demonstrated ability in written and oral communication and interpersonal relations
  • Ability to interact professionally with key constituents
  • Strong knowledge of Microsoft Excel, and database software
  • Experience working in a CRM (Raisers Edge, Tessitura, Salesforce)
