Human Resources Coordinator

Overview:  
The human resource coordinator provides assistance with and facilitates the human resource process at all school buildings. He / she maintains employees’ files, helps with employee recruitment, visas and relocation. He / she administers employee health and welfare plans and acts as liaison between employees, the Business Manager  and insurance providers. This position addresses benefits related problems and ensures effective utilization of plans and positive employee relations.

Status of Position

This is a full time position with Académie Lafayette.  This is an exempt position pursuant to the U.S. Department of Labor.

Reporting

The Human Resource Coordinator reports to the Head of School.

Responsibilities:

I - Employee Recruitment and Support

  1. Assists with processing of employer recruitment, evaluation and terminations.

  2. Assists with the preparation of the performance review process.

  3. Assists with recruitment and interview process. Tracks status of candidates’ applications and responds with follow up letters at the end of the recruiting process.

  4. Coordinates the employee visa process with Amity, the Cordell Hull Foundation and the school immigration attorney,

  5. Coordinates new employee orientation and US required paperwork: ID, social security, etc.

  6. Coordinates employee instructional resources orders.

  7. Monitors employee professional development

II - Employee Benefit

  1. Administers health and welfare plans including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.

  2. Monitors employee absences, personal days and leaves

  3. Conducts audits of payroll, benefits or other HR programs and recommends corrective action.

III - Employee Files

  1. Is responsible for the maintenance of up-to-date accurate personnel records in accordance with statutory and UCM audit requirements.

  2. Prepares new employee files.

  3. Verifies I-9 documentation and maintains that they are current.

  4. Submits the online investigation requests and assists with new employee background checks.

  5. Makes photocopies, faxes documents and performs other clerical functions.

  6. Oversees employee compliance with DESE: certification and

  7. Coordinates employee background check and fingerprinting

  8. Oversees the required employee training and reviews by DESE and UCM

  9. Manages compliances issues involving employee complaint regarding: harassment, civil rights, termination, due process, grievances.

  10. Develops teachers’ schedules

IV - Communication

  1. Assists employees by answering their requests and questions.

  2. Assists or prepares correspondence.

  3. Manages the internal communication: Weekly Notes, the LInk, employee surveys etc

  4. Coordinates the revision and distribution of the employee handbook

  5. Manages the employee surveys and exit interviews

  6. Develops all school yearly calendar

V - Other duties

Other duties as requested by the Head of School


Qualifications

  1. Bachelor’s degree in education,  human resources or related field, and/or equivalent experience.

  2. At least three experience in human resource

  3. Proficient with Google Drive and Microsoft Office (Word, Excel and PowerPoint).
