AccessKC Administrative Officer

AcruxKC (www.AcruxKC.org), a 501(c)3 public charity, operates education, grantmaking, and healthcare access programs that contribute to the health and quality-of-life of individuals across the bi-state Kansas City region. AcruxKC’s flagship program, AccessKC (www.AccessKC.org), promotes health equity by eliminating barriers to basic health needs for area residents with low/moderate incomes.
 
About the Position
The Administrative Officer, a new role, will provide operational leadership for AccessKC, reporting directly to the Vice President. This role bridges executive leadership and administrative staff, translating organizational priorities into day-to-day operations and ensuring the administrative team consistently delivers accurate, efficient, and high-quality work.
 
This individual will lead a team of full- and part-time staff, setting clear expectations, ensuring accountability, and building a culture of accuracy, ownership, and continuous improvement. The Administrative Officer is responsible for identifying and resolving workflow inefficiencies, managing workload distribution, and eliminating recurring errors through coaching, process design, and quality oversight.

They must possess an exceptional work ethic, discretion, and the ability to manage multiple priorities while supporting organizational growth.
 
Key Responsibilities
The primary responsibilities of this role include:

  • Supervise, train, and evaluate staff, fostering a culture of accountability, accuracy, and continuous improvement
  • Monitor team workload, workflow progress, and deadlines to meet performance objectives
  • Maintain administrative processes, records, documentation, and quality controls
  • Track errors, identify recurring issues, and implement corrective actions and process improvements
  • Coordinate logistics for AccessKC mobile outreach events
  • Organize and facilitate onboarding, training, and professional development for staff
  • Serve as a liaison between executive leadership and administrative staff
  • Support activities, meetings, and other initiatives as assigned by the Vice President
Qualifications & Characteristics
Education & Experience
  • Bachelor’s degree required (Business Administration, Nonprofit Management, or related field)
  • Minimum 5 years of progressive management and operational leadership experience required
  • Prior supervisory experience managing a team, including performance management and accountability
  • Experience in nonprofit, health services, social services environment strongly preferred
  • Basic knowledge of invoice processing, billing, or payables
Leadership & Management Skills
  • Proven ability to lead, motivate, and hold a team accountable to quality standards
  • Track record of identifying recurring operational problems and implementing sustainable solutions
  • Strong workload management and prioritization skills; ability to push back constructively
  • Effective and professional communicator with staff, leadership, clients, and partners
  • Calm under pressure; able to manage competing priorities without sacrificing accuracy
  • High level of professionalism, integrity, and discretion
  • Positive attitude and strong work ethic
Communication & Interpersonal Skills
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and ability to work collaboratively
  • Serve as a reliable partner to Vice President in coordinating priorities and addressing needs effectively
Technical Skills
  • Proficiency in Microsoft Office Suite required; experience with SharePoint, PDF software, Canva, and Monday.com desirable.
  • Experience with database systems, payment systems, and reporting tools a plus
  • Proven experience in prompt engineering and LLM optimization to accelerate data analysis and reporting, and to extract actionable insights from data

  • Bilingual (English/Spanish) a plus

  • Must have own vehicle, valid KS or MO Driver's License, current insurance, clean driving record
  • Candidates must live in the Kansas City metropolitan area. There is no relocation assistance for this position. This position is not eligible for immigration sponsorship
Work Environment
  • Remote-flexible, with scheduled time in AcruxKC’s fully accessible co-working suite
  • Occasional evening/weekend work required for events, as well as occasional travel in the Kansas City region
  • This role uses standard office equipment; the position is required to talk, hear, stand, and walk, and to handle, feel and reach. The employee must occasionally lift and/or move objects up to 40 pounds
  • Smoke- and drug-free workplace
Work Schedule and Benefits
  • Full-time, exempt position
  • Monday–Friday, 8:30 a.m. – 4:30 p.m. with flexibility for events and meetings
  • The salary for this position is $58,000-$62,000, based on experience
