About the AAVSB
The American Association of Veterinary State Boards (AAVSB) is a not-for-profit association comprised of 63 Member Boards dedicated to the proper and efficient regulation of veterinary medicine in the interest of public protection. We are committed to supporting and advancing the regulatory process for veterinary medicine and being the source of comprehensive information and services to advance and strengthen veterinary regulation.

About the Role
The Member Services Associate is a key administrative role within the AAVSB, providing vital support to the Member Services team. This position involves handling a variety of detailed administrative tasks, ensuring smooth communication and operations across multiple departments, including Membership, Technology, and Marketing. The role requires adaptability, creativity, and collaboration with staff and management to achieve strategic goals.
Responsibilities
Day-to-day activities include:
- Maintain accurate electronic records and supporting documentation.
- Maintain a high standard of excellence in customer services with key stakeholders.
- Receive, review, and promptly answer email and telephone communications.
- Perform duties as required based on the needs of the AAVSB and/or as assigned.
- Assist with listserv management, event planning, and membership relations.
- Provide general administrative support, including document management, scheduling, and meeting organization.
- Track and report progress on tasks and deliverables.
- Assist with planning and executing Annual and Spring Meetings projects.
- Identify opportunities for process improvement within the Member Services department.
- Perform additional duties as required based on the needs of AAVSB.
WITHIN 1 MONTH, YOU WILL:
- Build Relationships: Establish strong working relationships with team members, managers, and key stakeholders.
- Understand the Role & Organization: Learn about company policies, procedures, and culture.
- Training & Systems Familiarization: Complete onboarding and training sessions, including software tools and workflow processes.
- Shadow & Assist: Observe senior team members and assist in basic tasks to understand day-to-day operations.
- Handle Basic Tasks: Start taking responsibility for fundamental job functions with supervision & feedback. Gain familiarity with internal systems and workflows.
WITHIN 3 MONTHS, YOU WILL:
- Understand AAVSB’s role in veterinary medicine and the AAVSB’s services.
- Have a good understanding of the roles of the different departments at the AAVSB.
- Problem-Solving & Initiative: Identify minor challenges and suggest solutions.
- Enhance Communication: Actively participate in team meetings, discussions, and external interactions.
- Increase Workload: Take on additional responsibilities or small projects to show capability.
- Continue Learning: Seek feedback from supervisors and apply it for improvement.
- Support Team Projects: Contribute to team initiatives, process improvements, or departmental goals.
WITHIN 6 MONTHS, YOU WILL:
- Full Ownership of Responsibilities: Independently manage daily tasks with confidence.
- Efficiency & Accuracy: Improve speed and quality of work while maintaining high standards. Prioritizing workflow and managing multiple tasks without assistance.
- Collaborate Effectively: Work cross-functionally with other teams or departments.
- Propose Enhancements: Identify ways to optimize workflows and/or member board experience.
WITHIN 12 MONTHS, YOU WILL:
- Demonstrate complete proficiency in all daily tasks, processes, and systems.
- Consistently deliver high-quality work with accuracy and efficiency.
- Manage workload effectively, meeting deadlines without supervision.
- Proactively identify and resolve issues, reducing the need for managerial intervention.
- Take initiative to streamline workflows, improve efficiency, and assist with documenting best practices.
- Actively contribute to team projects, offering insights and constructive feedback.
- Expand knowledge through training, certifications, or workshops relevant to the role.
- Take ownership of a small project or initiative that adds value to the team.
- Take on additional responsibilities outside of daily tasks to support leadership.
Qualifications
To be successful in this role, you will:
- Have initiative and attention to detail.
- Receive and provide constructive feedback to team members and supervisors.
- Prioritize daily tasks effectively and communicate with team members and supervisors.
- Strong organizational and multitasking skills.
- Ability to work on multiple projects.
- Excel in Microsoft Office Suite and experience in databases.
- Communicate effectively with Member Boards and external stakeholders both verbally and in writing.
- Work effectively, efficiently, independently, and collaboratively as part of the AAVSB from a remote location or office setting, committed to diversity, equity, and inclusion in the workplace.
Education and Experience
- Required: Demonstrable experience in complex administrative support leading to an expanding scope of work and/or increasing responsibility on team or individual projects.
- Preferred: Accredited Bachelor’s degree and demonstrable experience in complex administrative support leading to an expanding scope of work and/or increasing responsibility on team or individual projects within a nonprofit association, education or credentialing setting, or similar environment.
- Occasional travel and weekend work might be necessary to fulfill the position’s responsibilities.
Details
This is a full-time and non-exempt position. Work is performed under the direction of the Member Services Manager. Must pass a background check.

Salary Range: $42,000 - $46,000
The AAVSB is headquartered in Overland Park, Kansas. This position may be virtual/remote with the understanding that there will be required company-paid travel throughout the year.
