Facilities Manager
Job Status: Three-quarters time, exempt
Hours: 32 hours/week
Schedule: A typical week centers on Mon 8:30-11:30am, Tue-Thu 8:30am-4:30pm, and Sun 7:30am-12:30pm. Because this role follows the event calendar, weekly hours will shift, and evening and Saturday coverage for events such as weddings, funerals, and receptions is an expected part of the position. The specific schedule will be planned in advance with the supervisor to provide that coverage while averaging to the budgeted hours.

Compensation: $60,000 annually

Position Description:
St. Paul’s Episcopal Church is seeking a Facilities Manager to own the day-to-day physical operations of our campus, centered on our 120-year-old stone building. This is a hands-on role that combines practical maintenance work with coordination, planning, and recordkeeping. The right candidate is equally comfortable replacing a faulty fixture and building a spreadsheet to track preventive maintenance schedules. This is a single-person role with no direct reports: you will be the one turning the wrench and setting up the chairs, while managing the outside contractors and vendors who handle anything beyond our in-house scope.
We need someone who can be trusted to run independently. If an event is on the calendar, it should happen (chairs set, space ready, logistics handled) without requiring oversight. Sunday mornings are central to this role. You will be a visible, welcoming presence during our most active time of the week, and your warmth and approachability with clergy, staff, and parishioners matters.
Primary Duties and Responsibilities:
Facilities Maintenance:
- Perform and assess intermediate-level repairs across building systems including HVAC, plumbing, electrical, and general carpentry. Anything beyond your scope gets contracted, and knowing that line is part of the job.
- Maintain grounds, common areas, and building systems in clean, safe, and functional condition.
- Work with the Parish Administrator to coordinate and schedule contractors for work beyond in-house capacity, managing the day-to-day relationship and quality follow-through. Selecting new vendors and approving expenditures above the threshold set in parish financial policy requires sign-off from the Director of Operations and Communications.
- Conduct regular walkthroughs to identify maintenance needs before they become problems.
- Serve as the primary point of contact for building emergencies such as alarm activations, water leaks, heating failures, or security issues; assess the situation, take immediate action within your scope, and coordinate contractors or emergency services as needed. After-hours availability for urgent building issues is expected, arranged in advance with the supervisor.
- Coordinate and track required life-safety and compliance items on a regular schedule, including fire extinguishers, smoke and carbon monoxide detectors, emergency lighting, fire alarm and sprinkler inspections, boiler inspection, and pest control; schedule licensed vendors where certification is required and keep all documentation current.
- Take ownership of the maintenance office: assess current organization, clean and reorganize the space, and develop systems to keep it functional and orderly on an ongoing basis.
Events & Operations:
- Own the full event setup and teardown process for all church events, including Sunday morning services, coffee hour, and periodic large or complex gatherings.
- Ensure spaces are properly configured, cleaned, and stocked before events and restored afterward.
- Be present and available on Sunday mornings to handle setup, support the service, and respond to any facility needs as they arise.
- Fulfill staff work orders ranging from simple repairs and furniture moves to larger facility projects.
Systems and Recordkeeping:
- Maintain and update equipment use and event setup tracking spreadsheets so staff always have visibility into plans and schedules.
- Build and manage a preventive maintenance log to ensure the building’s upkeep is documented, consistent, and proactive.
- Evaluate and recommend tools or software to improve how the church tracks facilities information over time.
Cleaning & Supplies:
- Oversee the relationship with cleaning contractors, ensuring regular service meets standards.
- Handle cleaning independently when needed, particularly around events or when contractors are not on-site.
- Walk the grounds each Sunday morning before services to confirm a safe, clear, and welcoming entry: pick up loose trash, clear any lingering ice or debris, and check that walkways and entrances are accessible. Snow removal is handled by an outside contractor, but you are responsible for verifying their work, addressing any spots they miss, and making the approach to the church safe before people arrive.
- Maintain stock of cleaning supplies, consumables, and facility materials, in collaboration with cleaning contractors.
Requirements:
- Valid driver’s license and reliable transportation.
- Two or more years of experience in facilities maintenance, building operations, or a closely related field, with demonstrated ability to perform intermediate-level repairs across multiple building systems (HVAC, plumbing, electrical, general carpentry).
- Experience with administrative recordkeeping and organizational systems, whether spreadsheets, work order software, or similar tools.
- Strong self-direction and the ability to prioritize and manage competing demands without close supervision.
- Warm, approachable, and professional demeanor, particularly in a high-traffic Sunday morning environment with a wide range of people including clergy, staff, and parishioners.
- Physical ability to perform the demands of the role, including lifting, carrying, cleaning, and working in varying weather conditions.
- Comfort working within and respect for a faith community environment.
- Must pass a comprehensive background check
- Required to complete Safe Church, Safe Communities training and any additional onboarding training associated with this position
Preferred Experience:
- Relevant trade certifications or formal training in building systems, facilities management, or a related field.
- Experience working in a church, school, nonprofit, or other community-serving organization.
- Familiarity with facilities or maintenance management software.
A 90-day review will be conducted. Employees will have weekly 1-on-1 meetings with their supervisor and annual performance reviews with the Rector.
Prior to resigning this position, minimum notice of two weeks is required.
