Communications Coordinator
Contractor Title: Communications Coordinator
Reports to: KC Rose Society President Effective Date: 3/1/2025
Position Summary:
The communication coordinator will assist Kansas City Rose Society board members with event coordination, email communications, public relations, donor database management, publications, photo management and social media and website updates related to the organization. This is an independent contractor, 1099 position. Average time of work: 10 hours per week. Website: www.kansascityrosesociety.org
Duties/Responsibilities:
Event Coordination
- Maintain and update a calendar of events on the main website.
- Prepare online registration form for insertion into website and eblasts.
- Monitor registration process, create attendee lists and reminders.
- Attend events as requested.
- Check and respond to KCRS emails daily. Route requests to the appropriate KCRS contact.
- Work with KCRS committee chairpersons on content and design for email blasts.
- Send email blasts using Constant Contact or other targeted email services.
- Manage additions/deletions to email lists and follow up on bounced addresses.
- Create print and digital marketing materials.
- Assist in the management of KCRS Little Green Light (LGL) donor database.
- Create online forms from LGL for event registrations, donations, and fundraising.
- Add and update member data, event participants, and donations.
- Develop reports for targeted emails, mailing lists, donor lists and organizational research.
- Collaborate with webmaster on updates to the website to create webpages for events, membership campaigns, donations, and fundraising projects on the Squarespace platform.
- Coordinate content and design of email blasts/website/social media posts to maintain message continuity.
- Maintain archive of annual activities/events webpages for update/re-posting
- Create & post new content on social media (Facebook, Instagram, YouTube) in coordination with Rose Society committee leaders. Monitor all social media outlets and respond to or forward questions to the appropriate KCRS contact.
Perform other related duties as required.
Required Skills/Abilities:
- An appreciation for the mission and activities of the Kansas City Rose Society.
- Ability to work independently from home with direction from multiple committee chairpersons.
- Excellent written, verbal, and digital communication skills.
- Demonstrated competency with digital communication tools including email, word processing and spreadsheets using Microsoft Office products, Photoshop, Constant Contact, Little Green Light, Canva, Insight, and other software to create marketing pieces. Must have own computer.
- Demonstrated competency in graphic page layout with text, graphics, and photos for digital and print materials.
- Excellent organizational abilities for computer file storage and management.
- Excellent time management skills with a proven ability to manage multiple projects and meet deadlines.
- Sufficient web management experience to make routine updates to webpage content under the direction of a contract webmaster.
- Demonstrated experience with posting to a variety of social media platforms (Facebook, Instagram, TikTok, YouTube)
Education and Experience:
- High school diploma or equivalent. Bachelor’s degree preferred.
- 2+ years of successful experience in coordinating the needs of a small business or not-for-profit organization
