Program Associate
Connections to Success is seeking a highly organized and detail-oriented individual to join our team as a Program Associate. This role is crucial to the smooth functioning of our office, requiring a versatile professional who can handle a variety of administrative tasks. The ideal candidate will be proactive, resourceful, and possess excellent communication skills.
Essential Functions & Responsibilities:

Oversee day-to-day office operations and ensure a well-organized and tidy workspace

Manage office supplies inventory, order supplies, and restock as needed

Coordinate with vendors and service providers for office maintenance and support

Coordinate front-desk activities, including answering and redirecting phone calls, distributing correspondence, and handling inquiries
-
Oversee improvements or changes to facilities
-
Maintain landlord relationships to address issues, concerns, and resolutions
-
Oversee all licensing, insurance, and maintenance of all company-owned vehicles
-
Provide administrative support to CtS leaders and team members, including calendar management, scheduling meetings, and support onboarding
-
Prepare and edit documents, reports, and presentations as required

Assist in travel arrangements and accommodations for staff

Ensure effective communication within the office and facilitate information flow

Assist with coordinating and organizing office events, meetings, and conferences
-
Coordinate and schedule Board meetings, including the preparation and distribution of meeting materials First point of contact for volunteers to help connect them to opportunities that fit their skill set

Attend events as scheduled to support the organization.

Assist with participant transportation to class, job interviews, or other activities as needed.

Serve in other duties, roles, responsibilities as needed by the organization to fulfill its mission.
Experience & Qualifications:
-
High school diploma or HiSet required; additional certification or degree in business administration or a related field is a plus.

3+ years of administrative or office management experience (nonprofit experience is a plus)
-
With 2-5 years of demonstrated experience in office management or administrative roles.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite and other relevant office software.

Attention to detail and problem-solving skills.

Ability to work independently and as part of a team.

Prior experience in event coordination is a plus.

Public Relations & Customer Service: Warm, approachable, and skilled in handling inquiries from the public, partners, and donors

Attention to Detail: Ensuring accuracy in record-keeping, financial reports, and compliance documentation

Internal Relationships: All Staff, Volunteers, Mentors, Participants, Board of Directors

External Relationships: Potential Volunteers, Participants, venders, and other Stakeholders
Additional Information:
This position is a full-time, hourly non-exempt position. Employees will be eligible for full benefits including health, retirement, and vacation benefits on the first of the month following hire date. We invite potential candidates with incarceration/ criminal justice system history to apply.
