Volunteer Coordinator

Schedule: Wednesday - Sunday 8:30 - 5:00; some evenings required

Wayside Waifs is Kansas City's largest and most comprehensive no kill pet adoption campus. Since 1944, we have been working diligently to partner pets and community for life. Wayside Waifs strives to enrich the lives of abandoned, abused and homeless animals until they find a new family home. We care for more than 5,000 animals every year. Wayside is a private, independent, nonprofit 501 (c)(3) charity with no government funding. We depend on the generosity of the community to continue our life-saving work. Our Mission is preparing pets and people for the bond of their lives. Wayside Waifs is currently seeking to fill the posiiton of Volunteer Coordinator.


Position Summary
The Volunteer Coordinator supports the daily operations of the volunteer program and works closely with the Volunteer Services Manager to recruit, onboard, train, mentor, and retain volunteers (excluding foster and corporate volunteers). This role plays a key part in ensuring the smooth functioning of the program and supporting the organization’s evolving needs. The Volunteer Coordinator assists with the development and implementation of volunteer programs, provides resources and guidance to staff working with volunteers, and fosters a positive, inclusive, and engaging experience for volunteers. This position helps ensure clear communication, ongoing support, and recognition for volunteers while also fulfilling necessary administrative duties. By collaborating across departments, the Volunteer Coordinator helps adapt the volunteer program to align with the organization’s goals and priorities.

Primary Accountabilities 
  1. Facilitate the recruitment and enrollment of all new volunteers.
  2. Act as a valued resource and liaison for all volunteers.
  3. Create and/or update volunteer training materials as needed. Serve as an instructor and recruit, train and schedule other volunteer instructors for various training courses including, but not limited to, DOG101 and CAT101.
  4. Assist with volunteer engagement and retention initiatives
  5. Assist with weekly volunteer email and other communications as assigned. 
  6. Develop and execute valued methods for volunteer recognition.
  7. Ensure volunteer information, including completed training, is current and accurate in all software programs. 
  8. Maintain and communicate training calendar in an accurate and efficient manner. 
  9. Ensure adherence to safety, operational, and organizational standards
  10. Establish and maintain effective working relationships with all co-workers and volunteers
 PRIMARY TASKS & DUTIES 
  • Provide administrative support to Volunteer Manager as needed.
  • Process phone and email requests for information about the volunteer program.
  • Manage volunteer communication on an ongoing basis. 
  • Maintain calendar of events and provide internal and external communication updates as required.
  • Schedule classes and prepare materials for volunteer training and programming.
  • Enter information into and edit software databases accurately and efficiently.
  • Facilitate volunteer recruiting and application process.
  • Teach training classes as required.
  • Regularly communicate with supervisor, discussing any challenges, ideas, or suggestions.

  • Must be highly organized with strong administrative and customer service capabilities
  • Demonstrate initiative and problem-solving skills

POSITION REQUIREMENTS
Education & Experience
  • Demonstrated experience working effectively with people and animals in a variety of situations
  • High School degree or GED equivalent.  Proficient computer skills which include knowledge of Microsoft office
  • College degree preferred
  • Experience with Volgistics software is a plus
Working Environment
  • Position requires use of computer and keyboard, telephone, copy machine and media equipment.
  • Employee may be exposed to fumes or airborne particles. The noise level in the work environment is moderate to high. Will frequently be working with and exposed to a variety of animals.
