Accounts Payable Specialist

Since receiving voter approval in 2016, the CSF has awarded over $185 million in support of programs and services at more than 100 Jackson County-serving organizations through a ¼-cent sales tax. Position Summary
The Accounts Payable Specialist supports the Children’s Services Fund’s mission to enhance the mental health and well-being of children, youth, and families by ensuring CSF partners are reimbursed for their services to children and youth.
Working under the leadership of our staff Accountant, and ultimately responsible to the Chief Financial Officer, the Accounts Payable Specialist will support the organization’s financial operations, ensure accurate and timely processing of partners' reimbursement requests, while maintaining compliance with contract requirements. The Accounts Payable Specialist regularly interacts with CSF funded partners and must manage sensitive confidential information with discretion.
Key Responsibilities
General Accounting
- Review and process partners’ invoice submissions for accuracy and contractual compliance in Fluxx Grant Management Software.
- Proactively track and report delinquent partner invoice submissions.
- Code and enter vendor and staff expense reimbursement into NetSuite Accounting Software.
- Reconcile vendor statements and resolve discrepancies or billing issues.
- Complete weekly reconciliation of amounts posted to Accounts Payable.
- Respond to partner inquiries regarding invoices, reimbursement, and payment status.
- Track and maintain partners’ Certificates of Insurance to ensure ongoing contractual compliance.
- Assist with any audit functions by reviewing and/or providing necessary documentation.
- Perform additional duties and administrative tasks as assigned.
- Utilize NetSuite (accounting software) and FLUXX 9rant management software) to manage financial and contract-related data.
- Collaborate with other members of the Finance Team, as well as members of the Program Team to ensure accurate financial tracking across both systems.
- Education: Associate’s degree in accounting, finance, or a related field.
- Experience: Proficiency with accounting software and Microsoft Office. Prior experience with grantmaking software preferred. Prior experience with NetSuite and/or FLUXX would be a bonus.
- Attributes: Strong analytical and critical thinking skills with attention to detail, excellent written and verbal communication skills, ability to work independently, manage multiple deadlines, and adapt to changing priorities, and ability to build good working relationships with peers and partners.
- Hybrid, following successful onboarding.
- In-Office Tuesday, Wednesday, and Thursday.
- Possible remote work on Monday and Friday.
Compensation:
The anticipated hiring salary range for this position is $58,000 to $62,000, with the offer determined by the candidate's experience level and credentials. The Children's Services Fund of Jackson County offers employees a comprehensive benefits package, including medical, dental, and vision insurance, life insurance, short-term & long-term disability insurance, a retirement plan, and paid time off.
