Administration Assistant - Executive Support
Reports to: Executive Director
General Responsibilities: Responsible for administrative support and office management.
Duties will include, but are not limited to:

Confirming birthday parties and field trips. Process deposits/payments.

Prepare information for staff during the week and weekend for field trips and/or birthday parties.

Processing incoming donation requests for area organizations.

Ordering office supplies and museum-wide supplies as needed.

Organize monthly recognition of staff birthdays and anniversaries.

Recruit, organize, and coordinate volunteers.

Coordinate with the Executive Director, Board meeting information, reminders, annual dues, contracts, disclosures, and lunch orders.

Assist guests with questions or problems about membership.

Assist with end-of-month activity, including, but not limited to, reconciling and coding credit card statements, completing daily sheet reporting, and processing and depositing all special deposits.

Serve as back-up for onboarding for Field Trips.

General errands for museum operations.

Assisting at the Welcome Desk and assisting on the museum floor as needed.

Other duties as assigned.
Required Skills

Minimum two years’ administration experience.
-
Excellent written and verbal communication skills.
-
Ability to manage a variety of incoming and outgoing tasks.

Self-motivated and responsible with the ability to prioritize and work independently.

Strong computer skills, including calendar and database management.

Ability to use a cash register or point of sale system.

Experience working with the public, including families and young children
Essential Physical Functions: On any given day, may be frequently required to do one or more of the following: climbing, stooping, kneeling, crouching, crawling, reaching, lifting up to 25 pounds, and moving short distances.
Work hours: Monday 9:00 a.m.- 3:00 p.m., Tuesday-Friday 8:30 a.m.- 4:30 p.m.
Compensation: $32,000-$38,000 with benefits
