Administration Assistant - Executive Support

Reports to:            Executive Director

 

General Responsibilities:    Responsible for administrative support and office management. 

 

Duties will include, but are not limited to:

 
  • Confirming birthday parties and field trips. Process deposits/payments.

  • Prepare information for staff during the week and weekend for field trips and/or birthday parties.

  • Processing incoming donation requests for area organizations. 

  • Ordering office supplies and museum-wide supplies as needed. 

  • Organize monthly recognition of staff birthdays and anniversaries. 

  • Recruit, organize, and coordinate volunteers. 

  • Coordinate with the Executive Director, Board meeting information, reminders, annual dues, contracts, disclosures, and lunch orders. 

  • Assist guests with questions or problems about membership.

  • Assist with end-of-month activity, including, but not limited to, reconciling and coding credit card statements, completing daily sheet reporting, and processing and depositing all special deposits.  

  • Serve as back-up for onboarding for Field Trips.

  • General errands for museum operations.

  • Assisting at the Welcome Desk and assisting on the museum floor as needed.

  • Other duties as assigned.

 

Required Skills

 
  • Minimum two years’ administration experience.

  • Excellent written and verbal communication skills.

  • Ability to manage a variety of incoming and outgoing tasks.

  • Self-motivated and responsible with the ability to prioritize and work independently.

  • Strong computer skills, including calendar and database management.

  • Ability to use a cash register or point of sale system.

  • Experience working with the public, including families and young children

 

Essential Physical Functions: On any given day, may be frequently required to do one or more of the following: climbing, stooping, kneeling, crouching, crawling, reaching, lifting up to 25 pounds, and moving short distances.

Work hours: Monday 9:00 a.m.- 3:00 p.m., Tuesday-Friday 8:30 a.m.- 4:30 p.m.

Compensation: $32,000-$38,000 with benefits
