Administrative Assistant to the Counseling Center Director

Essential Duties and Responsibilities:
 
  • Administer clerical support to Counseling Center and the Blessings Program staff.
  • Schedule appointments for the Blessings Program and Counseling Center staff using the electronic health record and/or the Google calendar.
  • Answer and direct all phone calls and message(s) for all Counseling Center locations and the Blessings Program.
  • Review and respond to emails daily.
  • Copy screening and intake forms for new admissions.
  • Develop spreadsheets, track, and update the information on spreadsheets as necessary.
  • Greet and provide general support to participants and office visitors.
  • Write and distribute communications (i.e., memos, letters, emails, invoices, reports, etc.).
  • Review and assist participants with intake process and enter demographics into the electronic health record.
  • Create, organize, and maintain filing system (physical and electronic).
  • Assist with all telehealth referrals (i.e., setting appointments, completing patient portal, etc.).
  • Compile information and assist with the preparation of monthly reports.
  • Order program supplies and ensure there are incentives available for program participants.
  • Provide follow-up calls to past Counseling Center participants every six and twelve months.
  • Assist with providing community resources and referrals to the Counseling Center participants.
  • Attend all weekly program staff meetings and any other required meetings per the direction of supervisor including the Blessings and Housing Program staff meetings.    
  • Work closely with Counseling Center Director.
  • Perform other duties as assigned by Counseling Center and Blessings Program Directors. 
 
Education and/or Work Experience Requirements:
 
  • High School diploma OR GED
  • Vocational training and/or two (2) years of clerical experience in an office setting
  • Computer proficiency (MS Office – Word, Excel, Outlook and Google Suite of Products)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service skills
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Self-directed, highly organized and detailed oriented with strong organizational skills with the ability to multi-task
  • Ability to communicate, be sensitive to and work effectively with individuals from diverse cultural backgrounds.
 
Physical Requirements:
 
  • Ability to safely and successfully perform the essential job functions
  • Ability to maintain regular and punctual attendance
  • Must be able to talk, listen and speak clearly on telephone, online and in person
  • Must be able to sit, stand, walk (including moving up & down steps), lift items, carry and bend
  • Must have transportation with appropriate registration (mileage reimbursement provided)

Salary Range: $30,000 - 49,999
