Administrative Office Assistant - Ladies of Charity USA - Part-Time

Please note, this position is being posted and advertised for Ladies of Charity USA. It is not a Catholic Charities of Kansas City - St. Joseph position. Interviewing for this position will take place on April 14-15, 2025.
 
Our History (Ladies of Charity USA)
The Ladies of Charity is an organization of Catholic lay women volunteers that was founded by St. Vincent de Paul in 1617. He mentioned in a sermon the situation of an entire family in the parish who were all ill and in dire need of help. As a result, there was an outpouring of charity so spontaneous and abundant that the family was overwhelmed with food and visitors. Viewing the abundance of food and provisions he realized that the family would have too many provisions at one time that some would be spoiled and wasted.
 
He called a meeting of women of the area and suggested that they band together to carry out this good work. They agreed to form an association in which each would take their turn in serving the poor corporally and spiritually. Thus, the founding of the Ladies of Charity. By December 8, 1617, the first association of Ladies of Charity was canonically erected. All subsequent associations were established with the approval of the Pope. St. Vincent chose Louise de Marillac, his devoted cooperatrix to visit the associations and see that they were properly organized, and that work was performed in the right spirit. On March 11, 1934, Pope Pius XI canonized Louise and proposed her as a model for the Ladies of Charity.
 
The first association in the United States was formed by Catherine Harkins in St. Louis on December 8, 1857.

Position Title: Administrative Assistant for LCUSA Office
 
Effective Date: Immediately if possible, but no later than May 1, 2025
 
Employment Type: Hourly, Part-Time - 16 hours per week
 
Hours: 9:00 AM – 1:00 PM or 10:00 Am – 2:00 PM Mon. thru Thurs. - ½ longer if lunch break is desired
 
Location: 8001 Longview Road, Kansas City, MO 64134
 
Exemption Status: Non-Exempt
 
Reports To: LCUSA President
 
Supports: LCUSA President, Board Members & National Associations
 
Include at least three professional references.
 
Essential Duties:
  • Daily monitor all telephone calls. Log all calls for date, caller and note all important information.
  • Daily monitor all office e-mails and forward all significant emails to president or other board member if message pertains to them.
  • Do not use office email for personal use.
  • Immediately inform president of any pertinent information that comes into office.
  • Open and sort all office mail.
  • Keep the database revised and updated
  • Deposits daily as needed via bank scanner
  • Keep updated monthly spreadsheets on all deposits made and send electronic copy to president and treasurer.
  • Record, prepare and send merchandise orders & keep record of all payments.
  • Assist IT Administrator with various tasks as needed.
  • Distribute pertinent information intended for LCUSA Board Members.
  • Assist LCUSA Committee Chairs with information and supplies as needed.
  • Maintain significant files and data, - More information upon employment.
  • Attend Spring and Fall Board meetings – Hotel RM and Travel expenses covered.
  • Assist National Assembly Committee with record keeping.
  • Undertake all other duties as assigned.
Basic Qualifications
  • High School Diploma or General Education Degree (GED)
  • At least 3 years’ experience in administrative assistance.
Skills and Competencies
  • Proficient computer and software skills.
  • Proficient knowledge in Excel and Word.
