Executive Administrative Assistant

RESPONSIBILITIES
The Executive Administrative Assistant will provide executive-level administrative and project management support to the Chief Research, Learning and Evaluation Officer.
Specific Responsibilities Include:
• Effectively communicates and collaborates with other Executive Assistants, Transition Leadership Team, and Board members to ensure efficient and timely execution of deliverables.
• Provides executive level clerical and administrative support by drafting power point presentations, letters, memos, invoices, reports, agendas, and other documents.
• Uses project management skills to coordinate, monitor, and communicate status updates for complex projects managed in support of the Program Strategy and RLE teams.
• Provides proactive calendar management by prioritizing, shifting and scheduling meetings on behalf of the VP of program strategy and RLE, taking notes and recording minutes when necessary.
• Arranges travel and accommodation.
• Receives incoming communication or memos on behalf of executive team members, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate associates.
• Performs office tasks including maintaining records, ordering supplies, and performing basic budget maintenance support.
• Understand the importance of and maintains sensitive and confidential information.
EDUCATION AND EXPERIENCE
Education: High School diploma required. Bachelor’s degree in business administration or related field preferred but would consider an equivalent combination of education and/or experience that demonstrates possession of competencies in a related field.
Work Experience: At least five years of professional administrative experience or related type of work. Project management certification or training preferred.
Travel: This position may require occasional business travel.

Qualified candidates for this position must be highly motivated, capable of self-direction and able to work collaboratively in a team. Candidates must exhibit a keen sense of responsibility and enjoy working with multiple demands, shifting priorities, and constant change.
• Prioritizes and multi-tasks effectively using excellent organizational skills with keen attention to detail, project management training or experience preferred.
• Has excellent time management skills with a proven ability to meet deadlines.
• Has excellent communication skills, including well-developed interpersonal, written, customer service and listening skills.
• Has the ability to function well in a high-paced and at times stressful environment.
• Possesses extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
• Possesses a passion for “doing what is right,” with unquestioned integrity, positive ethics, and values reflective of the Kauffman Foundation.
• Is committed to the Foundation’s credo, standards, and values in alignment with our racial equity, diversity, and inclusion statement.
• Has excellent-to-advanced computer literacy skills, including word processing, spreadsheets, and presentation applications with the ability to learn new or updated software.
