Executive Assistant/Office Manager

Since 2019, The Transition Academy (TTA) has worked to meet youth with disabilities and families where they are, help them explore their interests, talents and skills, and connect them to workforce and postsecondary pathways. Our mission is to prepare students with disabilities to transition from high school into meaningful careers through real-world learning and workforce development opportunities. 

The Transition Academy is seeking a highly organized, proactive professional who is excited about providing exceptional administrative support and office management to a growing organization. The Executive Assistant / Office Manager plays a critical dual role within the organization, serving as the right hand to the CEO while also ensuring smooth day-to-day operations across the team.

This role requires someone who is highly organized, proactive, adaptable, and comfortable taking ownership.Our culture is fast-moving, hands-on, purpose driven, and supportive to our families. This Full-Time in-person position will be supervised by the CEO .

Key Responsibilities

Executive Support CEO

  • Manage and strategically design the CEO’s calendar

  • Schedule meetings with internal staff, external partners, and stakeholders

  • Plan and coordinate CEO travel

  • Manage CEO communications, including drafting emails and ensuring timely responses

  • Act as a liaison between CEO, finance, and HR to ensure processes and documentation are completed

Board Duties

  • Create and distribute board agendas and meeting materials

  • Coordinate all board meeting logistics (space, food, scheduling, communication)

  • Attend board meetings and capture clear, actionable notes

  • Manage follow-ups and communication with board members

 

Office & Operations Support

Communication & Data Management

  • Serve as a point of contact for external inquiries (email, phone, website, social media)

  • Route communication to appropriate team members

  • Represent the organization with warmth and professionalism

  • Support data entry and maintenance in Salesforce (contacts, opportunities, accounts)

  • Assist with grant and fundraising tracking

  • Support staff with CRM usage and training when needed

Event Coordination & Support

  • Assist in planning and executing organizational events (student programs, family events, fundraisers, and partner events)

  • Coordinate logistics including timelines, vendors, materials, and communication

  • Support on-site execution (setup, flow, troubleshooting, breakdown)

Staff & Team Support

  • Plan and support staff meetings, events, and retreats as directed

  • Capture meeting notes and distribute key updates. Assist with special projects

  • Support classroom/program operations as needed

  • Contribute to maintaining and updating the Operations & Programming Handbook

Desired Qualifications:

  • Bachelor's degree in Communications, Business, Non-profit Administration or related. 

  • At least 2–4 years of experience as an Executive Assistant, Office Manager, or in a similar high-level administrative role, preferably within a non-profit setting. 

  • Technical Proficiency: Advanced skills in Google Workspace (Calendar, Drive, Docs, Sheets) and experience with project management tools like Monday.com.

  • CRM Expertise: Salesforce or a similar CRM; ability to manage data entry, pull reports, and train others on system workflows.

Salary Range: $50,000 - $60,000
