Grants Administrator and Executive Assistant

The SkillBuilders Fund (the Fund) makes grants to enhance the capabilities of women and girls to realize their full potential, with emphasis on programs and services in the Kansas City region. This private foundation is especially interested in innovative means to help women gain self-sufficiency, build their capacity to function in our society, and become responsible citizens. The Fund favors projects that provide educational opportunities, build entrepreneurial skills, and cultivate and foster women’s leadership.

We are dedicated to unlocking women and girls’ potential in the Kansas City region consistent with the aspirations of our founder, Marjorie Powell Allen.

The SkillBuilders Fund is seeking a part-time staff person to provide grant work and administrative support to the Fund. Reporting to the Executive Director, this professional will handle daily tasks for the Fund, provide office and general administrative work, provide support to the Executive Director and board of directors, as well as website maintenance/management. He/she will manage all activities related to grants management.
 
Responsibilities:
Grants Administrator

  1. Communicate and publicize grant guidelines, funding priorities and deadlines to current and prospective applicants.  
  2. Review and evaluate grant applications, conduct due diligence (including site visits), and prepare written funding recommendations for eh Grants Committee.
  3. Monitor active grants to ensure proper fund use and timely reporting; follow up on deviations, issues, or misuse of the funds.
  4. Manage online grant application system, maintain complete grant file records, and ensure applicant eligibility and documentation (including 502(c)(3) verification.
  5. Maintain working knowledge of the Fund’s policies, procedures, and the broader grantmaking environment.
  6. Prepare and distribute award and declination letters, outlining terms, reporting, and payment schedules.
Administrative Services
  1. Provide administrative support to the Executive Director and Grants Committee, including preparing agendas, minutes, meeting materials, and logistical coordination.  
  2. Oversee production and maintenance of Fund communications, including website content and printed materials.
  3. Coordinate with investment advisors, accountant to meet all compliance and reporting requirements.
  4. Maintain office operations, technology, and insurance coverage.
  5. Review and process Director Matching Grants
  6. Manage invoice approval process and process all grant and vendor requests for payment.
  7. Issue checks for foundation signature  
  8. Other duties as necessary
Qualifications:
Education: minimum requirement two-year Associate’s degree.
Successful candidate must have strong proficiency in Microsoft Office software including Word, Excel, as well as demonstrated experience in website maintenance/management (WordPress) and Survey Monkey. Strong preference will be given to candidates with superior computer and technical skills. Qualified applicant will possess strong organizational skills and be highly self-motivated. Experience in non-profit management is a plus.
 
Hours: Part-Time, flexible depending on time of year and commensurate board and committee activity (average 5-12 hours/week, some weeks more, some weeks less).
 
Job Function: Part-Time to include grant, office and administrative duties that support the Fund, and all other duties as necessary.

Benefits: Compensation will be competitive and commensurate with educational background, experience and skill set. Compensation will be discussed during the interview process. Office is located in Leawood, KS. Hybrid work is available.
