Office Coordinator

Position Summary

The Office Coordinator helps create a welcoming, organized, and resource-rich main office for clients, staff, visitors, and community members. As a primary point of contact, this role connects people with JTNL services and community resources while supporting First Stop and day-to-day office operations. JTNL strongly prefers candidates with lived experience of incarceration and reentry. We recognize lived experience as valuable expertise that builds trust, understanding, and connection with the people we serve.

Key Responsibilities

  • Welcome clients and visitors, answer phones, explain JTNL services and basic eligibility, and connect people with appropriate staff or community resources.
  • Support First Stop walk-in services Monday through Thursday, 10:00 AM-2:00 PM; maintain accurate client files and provide backup First Stop coverage as needed.
  • Maintain current client resources, including the Community Calendar, resource board, resource table, food distribution area, and coffee station.
  • Manage incoming staff and client mail, conference room scheduling, office records, and assigned administrative projects.
  • Complete accurate COMBAT grant data entry, documentation, record review, and data cleanup while protecting confidential information.
  • Order and pick up monthly Giving the Basics hygiene supplies; organize inventory and coordinate health and harm-reduction supplies with the Jackson County Health Department.
  • Keep the lobby, front desk, client areas, and shared spaces clean, organized, sanitary, and welcoming; coordinate daily cleaning assignments and report facility concerns.
  • Accept and route in-kind donations, provide receipts, and notify staff when follow-up is needed.
  • Help prepare and reset office spaces for trainings, meetings, and organizational events.

Qualifications

  • Required knowledge of the correctional system and barriers related to incarceration and reentry.
  • People directly impacted by the justice system are strongly encouraged to apply and will be prioritized.
  • Strong communication, organization, customer service, and follow-through skills.
  • Ability to work respectfully with people from varied backgrounds using trauma-informed, person-centered, and culturally responsive practices.
  • Ability to learn and clearly explain JTNL programs, eligibility, referral processes, and community resources.
  • Basic proficiency with email, calendars, spreadsheets, databases, and office technology; ability to complete accurate data entry and maintain organized records.
  • Ability to manage recurring duties with limited day-to-day direction, collaborate across teams, and handle confidential information appropriately.
  • Reliable transportation for organizational pickups and community responsibilities.
  • Experience in office administration, customer service, human services, nonprofit work, peer support, resource navigation, reception, or a related area is preferred but not required.

Schedule & Work Requirements

This is a full-time, in-person position, Monday through Friday from 9:00 AM-5:00 PM. Consistent attendance is essential because the role provides front desk coverage, client support, First Stop assistance, and daily office coordination.
  • Regularly move throughout the office; sit and stand for periods during the workday.
  • Pick up, transport, organize, and restock reasonable quantities of supplies and donations, including items stored in the basement, with or without reasonable accommodation.
  • Clean, sanitize, organize, and restock shared office and client areas.

Professional Development

When appropriate and feasible, JTNL will support the Office Coordinator in pursuing a Certified Peer Specialist credential and other training relevant to the role.

Other Duties

The Office Coordinator may perform other duties consistent with organizational needs and the general scope of the position.

Salary & Benefits: 
The salary range for this role is $42,000 to $46,000 with the following benefits:
  • Health Insurance: JTNL provides a group health insurance plan that includes health, dental and vision insurance and contributes $500 monthly for each employee.

  • Holidays: JTNL grants employees 10 paid holidays per year, plus the week between Christmas and New Year's Day.
  • Retirement Plan: JTNL partners with T. Rowe Price to help employees plan for their future with a retirement plan and aims to provide an employee match beginning in 2027.
  • Life Insurance & Supplemental Insurance: JTNL provides each full-time employee with $15,000 in life insurance and $15,000 in AD&D insurance through Principal Life Insurance Company. Additionally, employees can obtain supplemental insurance, such as disability or rental insurance.
