Operations Analyst - 1MC and FastTrac

RESPONSIBILITIES
The Operations Analyst for 1 Million Cups (1MC) and FastTrac will play a crucial role in supporting the daily operations of both programs. This position will ensure seamless processes across onboarding, event management, technology support, and customer service, while contributing to the success of the programs.
 
Specific Responsibilities include: 
 
  • Coordinate onboarding for new organizers, affiliates, and partners, providing the tools and resources for a successful start.
  • Manage the offboarding process for departing organizers, or affiliates, ensuring compliance with all procedures and removal from relevant systems.
  • Oversee and manage various small to mid-sized projects, tracking timelines, deliverables, and resource allocation across both programs.
  • Use project management tools to plan, organize, and keep track of projects.
  • Coordinate and maintain schedules for events, meetings, and other key program activities, ensuring smooth and timely execution.
  • Provide logistical and technical support for virtual and in-person events, ensuring a seamless experience from setup to execution.
  • Track and manage contracts with vendors, affiliates, and partners. Handle invoices related to program operations, ensuring timely review and approval.
  • Act as the first point of contact for technology-related issues faced by organizers and affiliates.
  • Collaborate with the Foundation’s tech support vendor to ensure technical issues are promptly resolved and systems function effectively.
  • Serve as a main point of contact for inquiries from participants, affiliates, and organizers, offering excellent customer service and prompt issue resolution.
  • Ensure accurate and current participant and program data is in the system. Update databases regularly and provide support with relevant report creation and management.
  • Support research efforts for new tools, platforms, or operational improvements.
  • Assist in gathering business and technology requirements for system upgrades or enhancements to ensure program efficiency and scalability.
 
EDUCATION AND EXPERIENCE
 
Education: Bachelor’s degree or equivalent years of related professional experience in business, education, or non-profit.
 
Work Experience: At least three years of program or project management experience, especially managing virtual and in-person events,  in strategic planning, operations management, continuous quality improvement, or innovation.
 
Travel: This position may require travel.

  • Implements reporting and financial procedures to ensure continuous access to program performance data.
  • Can maintain confidentiality and easily handle confidential material appropriately.

  • Possesses computer literacy skills, including proficiency with Microsoft tools, Box, Slack, and social media. Remote video software, e.g., Zoom, and CRM software, e.g., Salesforce, experience, required.
