Operations Manager

CCF serves as the legal employer and fiscal sponsor; the position is assigned to Starting Early and supervised day-to-day by the project. |

Starting Early works to support, organize, activate, and elevate professionals in the early childhood education provider community by building collaborative relationships throughout the Kansas City region. The initiative focuses on early childhood workforce development, CDA credentialing, shared onboarding, professional development, apprenticeship and pre-apprenticeship pathways, Residency staffing support, provider engagement, and systems-building for small and mid-sized early childhood providers.
The Operations Manager supports the internal administrative, operational, logistical, communications, and documentation systems needed for Starting Early’s programs to run efficiently.
This role helps ensure that program activities, participant records, partner communications, purchasing, event logistics, reporting documentation, website/social media coordination, and CCF-related administrative processes are organized, timely, and aligned with Starting Early’s goals.
Essential Responsibilities
Operations and Administration
• Manage administrative, operational, and logistical aspects of Starting Early programs.
• Maintain calendars, meeting schedules, event logistics, training logistics, and internal planning tools.
• Support daily operations across CDA, apprenticeship, shared onboarding, Residency, professional development, convenings, and workforce pathway activities.
• Organize internal files, shared drives, participant records, partner records, vendor files, and program documentation.
• Support efficient project management using Starting Early’s selected systems and tools.
• Maintain calendars, meeting schedules, event logistics, training logistics, and internal planning tools.
• Support daily operations across CDA, apprenticeship, shared onboarding, Residency, professional development, convenings, and workforce pathway activities.
• Organize internal files, shared drives, participant records, partner records, vendor files, and program documentation.
• Support efficient project management using Starting Early’s selected systems and tools.
Fiscal and CCF Coordination
• Coordinate with Community Capital Fund on fiscal sponsorship documentation, HR/payroll processes, vendor paperwork, contracts, invoices, receipts, and compliance needs.
• Track purchases, supplies, mileage, credit card documentation, invoices, reimbursements, and program expenses.
• Support budget tracking and expense documentation for grants and contracts.
• Assist with preparing documentation for funder reports and internal reviews.

Data and Reporting Support
• Maintain data systems such as Airtable, Bonterra, Google Workspace, or other platforms used by Starting Early.
• Collect and organize program data from staff, participants, provider partners, and community partners.
• Support participant tracking, attendance records, completion records, partner feedback, surveys, and program metrics.
• Assist with compiling documentation for learning briefs, grant reports, dashboards, and performance updates.

Communications, Website, and Social Media
• Support communications with participants, partners, providers, trainers, and vendors.
• Draft, format, schedule, and maintain partner updates, flyers, newsletters, website updates, and social media content.
• Coordinate website and social media updates that share program information, training opportunities, graduations, convenings, resources, and field learning.
• Maintain organized communications materials, photos/media permissions where applicable, branding files, and outreach records.
• Coordinate logistics for trainings, graduations, onboarding sessions, convenings, professional development events, and partner meetings.
• Draft, format, schedule, and maintain partner updates, flyers, newsletters, website updates, and social media content.
• Coordinate website and social media updates that share program information, training opportunities, graduations, convenings, resources, and field learning.
• Maintain organized communications materials, photos/media permissions where applicable, branding files, and outreach records.
• Coordinate logistics for trainings, graduations, onboarding sessions, convenings, professional development events, and partner meetings.
Special Projects
• Support the Director, Director of Programs, and Director of Workforce Development with special projects.
• Assist with onboarding new staff, contractors, coaches, and Residents.
• Support internal systems improvements as the organization grows.
• Help document policies, procedures, workflows, and recurring operational rhythms.

Qualifications
• Bachelor’s degree required or equivalent combination of education and substantial relevant experience.
• At least three years of experience in operations, administration, nonprofit programs, project coordination, office management, communications coordination, or related work.
• Strong organizational skills and attention to detail.
• Experience with records, billing, contracts, event logistics, purchasing, communications, website/social media updates, and data tracking.
• Discretion in handling confidential information.
• Strong written, verbal, and interpersonal communication skills.
• Proficiency with Microsoft Office, Google Workspace, Airtable, Canva, and related platforms.
• Nonprofit, early childhood, education, or human services experience preferred.
• At least three years of experience in operations, administration, nonprofit programs, project coordination, office management, communications coordination, or related work.
• Strong organizational skills and attention to detail.
• Experience with records, billing, contracts, event logistics, purchasing, communications, website/social media updates, and data tracking.
• Discretion in handling confidential information.
• Strong written, verbal, and interpersonal communication skills.
• Proficiency with Microsoft Office, Google Workspace, Airtable, Canva, and related platforms.
• Nonprofit, early childhood, education, or human services experience preferred.
Physical and Schedule Requirements
• Ability to lift up to 40 pounds.
• Ability to work in early childhood environments with exposure to childhood illnesses.
• Ability to travel locally to trainings, provider sites, convenings, and partner meetings.
• Ability to work occasional evenings or weekends based on program needs.
