Founded in 1957, Kansas City Ballet is a 30+ member professional ballet company under the direction of Artistic Director Devon Carney and Executive Director David Gray. Kansas City Ballet is a resident company at the world-class Kauffman Center for the Performing Arts, and each season features an eclectic repertory including traditional classics and exciting contemporary dances. Our professional company, the second company (comprised of KCB II and Trainees), professional dance school, and partnership programs, seek to nurture and develop our artists, audiences, and students in the values inherent in the creativity, diversity, and joy of dance. About the role: Kansas City Ballet seeks a dedicated and detail-oriented South Campus Administrator to serve as the operational cornerstone of our South Campus location. This role is pivotal in ensuring smooth daily operations, managing student enrollment and services, supervising administrative staff, and delivering exceptional customer service to students, families, and staff. The ideal candidate will bring strong organizational skills, leadership experience, and a passion for arts education.
Job Summary: The South Campus Administrator is responsible for the smooth operation of the South Campus, managing student enrollment processes, overseeing daily front desk operations, supervising administrative staff, and ensuring the highest standards of customer service and operational efficiency. The Administrator collaborates closely with school leadership to implement policies and support the organization's mission and vision. This position is non-exempt.
Approximate hours per week required by position: This position requires 40 hours per week. Occasional evening and weekend hours may be required for Academy productions, performances, and special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Front Desk and Administrative Operations
- Serve as the main point of contact at the South Campus front desk, assisting students, families, and staff with questions and requests.
- Respond to emails and phone calls in a timely and professional manner.
- Update class and payroll schedules, and manage accompanist assignments.
- Process merchandise sales, reconcile weekly deposit reports, and ensure all administrative processes run smoothly.
- Recruit, train, and supervise administrative assistants, assign shifts, and maintain up-to-date training materials.
- Analyze front desk operations, recommend and implement policy improvements to enhance efficiency and customer service.
- Build and update seasonal class schedules in coordination with school leadership.
- Process new and returning student enrollments, verify class levels, and help families select appropriate classes.
- Reserve course spots, manage payment processing (including scholarships and financial aid), and keep enrollment records accurate and current.
- Guide new students through level placement, including collecting background information, scheduling placement classes, and communicating results to families.
- Manage student withdrawals by updating records, canceling payments, sending exit surveys, and documenting reasons for departure.
- Maintain accurate student records in Mindbody and other administrative systems.
Scheduling and Program Coordination
- Schedule private lessons and studio rentals by coordinating with instructors and reserving studio space.
- Process payments for rentals and lessons, send confirmation emails, and ensure all bookings are accurate and documented.
- Manage makeup class scheduling, including logging absences, enrolling students in appropriate classes, and notifying instructors of changes.
- Coordinate with instructors to ensure smooth communication regarding schedule changes and student needs.
- Assist with preparation and logistics for Academy productions and performances.
- Manage participation records, create sign-in sheets, set up event spaces, and provide backstage supervision during events.
- Support volunteers, usher audience members, and help with event cleanup to ensure smooth and successful performances.
- Collaborate with other departments to coordinate event logistics and ensure seamless execution.
- Maintain a welcoming, professional, and organized front desk environment that reflects the values of Kansas City Ballet.
- Work collaboratively with the School Director and other administrative staff to implement policies and procedures.
- Demonstrate flexibility and adaptability to meet changing operational needs.
- Uphold confidentiality and professionalism in handling student and family information.
- Contribute to a positive, mission-driven workplace culture.
- Bachelor's degree in arts administration, business, education, or related field required.
- Minimum 3 years of administrative experience in an educational or arts environment.
- Proven ability to lead and inspire teams, with experience supervising staff in a customer-focused setting.
- Strong organizational and strategic planning skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
- Experience with Mindbody, Paylocity, or similar CRM/administrative platforms.
- Background in performing arts or cultural institutions.
- Passion for arts education and the mission of Kansas City Ballet.
- Proficiency in Microsoft Office products and database management.
- Experience in customer service or student services roles.
Physical Demands: This position requires regular standing, walking, bending, stooping, and sitting. Ability to lift to 20 lbs. Occasional evening and weekend work is required for performances and special events.
