Operations and Events Coordinator

Position Overview

The Operations and Events Coordinator will play a key role in supporting the Friends of Chamber Music Kansas City’s concerts, donor events, and daily operations. This position reports to the Executive Director and is responsible for event logistics, coordinating concert operations, managing artist and venue communications, and providing administrative support across the organization. As a visible representative at concerts and events, this role requires strong communication and organizational skills, attention to detail, and the ability to thrive in a dynamic, fast-paced environment. The Operations and Events Coordinator will ensure seamless operations that advance the Friends’ mission and create a welcoming, professional experience for artists, patrons, and partners.

The mission of the Friends of Chamber Music Kansas City (FCMKC) is to inspire lives through beautifully presented music. One of the premier organizations of its kind in the nation, FCMKC inspires lives and has been championing and exploring the art of chamber music for 50 years. We present the world’s leading artists in beautifully curated performances, advocate for creative and engaging programming, provide educational initiatives reaching deep into our community, and work tirelessly to be a good partner in strengthening the cultural life of Greater Kansas City and beyond.

 

Key Responsibilities Include

Concert Operations

·       Coordinate concert and rehearsal logistics, including keyboard tuning, page turners, equipment rental, and green room preparation.
·       Arrange for the housing, transportation, and some meals for our guest artists.
·       Work directly with venues and artists/artist managers/artist manager production liaisons to ensure proper venue setup (in consultation with the Artistic Directors when necessary).
·       Lead real-time production needs by being on-site for concerts, rehearsals, and events, managing artist needs, logistics, backstage calls, and liaising with venue staff.
·       Communicate with and manage volunteers and part-time stage crew assistants.
·       Assist in securing necessary instruments (e.g., harpsichord, portative organ) and arrange for safe transport.
·       Manage procurement and equipment setup, including staging, chairs, and stands.
·       Coordinate audio and video recording of concerts and events.

Event Planning

·       Collaborate with the staff to plan and coordinate concert receptions for donors, subscribers, and guests.
·       Coordinate with caterers, vendors, and volunteers to ensure high-quality event experiences.
·       Work with the Executive Director and staff to select event venues and menus in accordance with space needs, while evaluating against budgetary constraints.
·       Assist with setup, guest check-in, and teardown for all receptions and special events.

General Operations

·       Assist the Executive Director in securing needed office materials, tracking inventory, and maintaining general office organization.
·       Maintain accurate data and records in compliance with organizational standards.
·       Provide clerical support to staff as needed.
·       Answer phone calls and emails in a friendly, professional manner.
·       Assist with Box Office needs, including taking ticket orders.

Communications & Administration

·       Support the Executive Director with event communications and materials, including itineraries, checklists, and production notes.
·       Maintain organized records of event details, artist riders, and vendor communications.
·       Serve as an on-site representative for FCMKC during performances, ensuring exceptional patron and artist experiences.

 

Desired Qualifications, Experience, and Skills

Education & Experience

·       Bachelor’s degree or equivalent experience in arts administration, event management, or a related field preferred.
·       1–3 years of experience in event coordination, concert operations, or administrative support within a performing arts or nonprofit environment.
·       Familiarity with classical or chamber music is preferred but not required.

Skills & Competencies

·       Excellent organizational and problem-solving skills with a high level of attention to detail.
·       Strong interpersonal and communication skills, both written and verbal.
·       Ability to manage multiple priorities and work calmly under pressure.
·       Experience with Microsoft Office and experience with CRM systems, ticketing platforms, or databases is helpful.
·       Comfortable engaging with artists, donors, volunteers, and the public in a professional manner.

Work Environment, Wages, and Application Information

 
Hybrid position: Expected to be in the office 2-3 days per week. Reliable home internet required when working from home (can choose to work exclusively in the office if preferred). Must attend all concerts and events to assist in leading real-time production. Laptop provided. Hours may vary and include a mix of days, evenings, and weekends. The position requires the ability to sit at a desk and operate a computer for prolonged periods. Also requires use of standard office equipment and occasional lifting (up to 30 lbs.). Need reliable transportation for the delivery of concert and event supplies.

Job Type: Part-time, 25-30 hours per week on average.
Hourly Wage: $20 -$25, depending on qualifications and experience. The position may develop into full-time employment over time.
