Donor Services Associate

The Donor Services Associate provides essential support to the Donor and Corporate Services department by ensuring data integrity, delivering donor service, and performing administrative tasks. This role maintains and updates donor and fund information, processes grant requests, supports the donor portal, and prepares reports. The Donor Services Associate acts as a connector between donors, internal teams, and community partners, ensuring smooth communication and coordination throughout the donor services cycle.  

The position is based in Kansas City, MO and reports to the Senior Manager of Donor and Corporate Services This hourly, nonexempt employee works in office Monday – Friday but has the potential to work remotely after a successful 90-day in office training period. To ensure we provide quality service to our donors this position requires full availability during the fourth quarter (peak season) due to critical year-end responsibilities and business deadlines. While we recognize and observe holidays, personal time off is limited to ensure successful completion of essential year-end tasks. 

Key Responsibilities 

Donor Services & Support 

  • Serve as a point of contact for donor inquiries via phone, email, mail, and the donor portal. 

  • Provide service support for the online donor portal, including navigation assistance and password resets. 

  • Complete welcome calls for new donors and assist with donor onboarding. 

  • Process daily grant requests and execute due diligence for each transaction. 

Database & Systems Management 

  • Assist with new fund setup and updating existing funds. 

  • Ensure all information entered in the database is consistent with Foundation data integrity rules and requirements. 

  • Generate reports, analyze program data, and assist with bank verifications.  

Administrative & Operational Support 

  • Administrative support for the team, including data entry, due diligence, and corporate donor support. 

  • Assist in testing and evaluation of donor information platforms. 

  • Prepare and distribute donor correspondence, including letters, fund statements, checks and grant confirmations. 

  • Aid in reception backup as needed. 

Requirements 

  • Education & Experience: An associate’s degree with at least 2 years of relevant experience (an equivalent combination of education and experience will be considered).  

  • Technical Aptitude: Comfortable with technology and able to learn multiple databases quickly; experience with Salesforce is a plus. Proficient in Adobe Acrobat, Word, and Excel (including v-lookup and pivot tables). 

  • Communication & Relationships: Ability to build professional relationships with internal and external stakeholders and successfully communicate verbally and in writing. Ability to make effective speeches and presentations on complex topics to varying stakeholders. Maintains confidentiality and adheres to privacy standards. 

  • Financial Acumen: Operational level of financial acumen; able to identify and define problems, collect data, establish facts, and draw valid conclusions. 

  • Operational Agility: Ability to work collaboratively and independently; self-motivated and reliable. High attention to detail and ability to manage multiple tasks in a fast-paced environment. 

Physical Requirements

  • Office & Computer Work: Ability to work regularly at a computer terminal in a fast-paced environment with frequent interruptions.

  • Noise & Communication: Able to work in an office with moderate noise levels. Ability to communicate and interpret detailed information effectively.
