Development Coordinator

Organization Overview
Kansas City Young Audiences (KCYA) is one of the region’s leading arts education providers. Our mission is to engage all youth in the arts, promote creativity, and inspire success in education. Through interactive workshops, residencies, performances, and professional development opportunities, KCYA programs enhance student understanding of core educational concepts and support educators in integrating the arts into their teaching.

Position Summary
The Development Coordinator plays a key role in the Development team and the broader KCYA team. This role is responsible for supporting fundraising strategies to secure financial support for KCYA including through Alumni group activities and special events. Day-to-day responsibilities include data entry, donor acknowledgements, marketing, and support for Board of Directors. This role is supervised by the Development Manager. This role requires a high level of organization and communication.
This role is on-site, with hours generally falling between 8:00 AM to 5:00 PM, Monday through Friday. Evening/weekend hours will be required for monthly board meetings, the annual fall fundraiser, and additional alumni/special events per year. Schedule will be determined with supervisor.  

Key Responsibilities

  • Development and Database Support
    • Process gifts and enter donations accurately into Salesforce when received by check or online.
    • Create and mail acknowledgement letters in a timely manner.
    • Create and run reports in Salesforce to verify and reconcile financial data.
    • Maintain accurate donor records within Salesforce with regular cleanup tasks including but not limited to removing duplicates, verifying contact info, standardizing data formats, and updating records to improve communication and fundraising effectiveness.
    • Create online donation campaign pages.
    • Assist with preparing and mailing fundraising appeals.
    • Assist Development Manager in financial audit by providing copies of requested documents in a timely manner.
  • Special Events
    • Assist Development Manager in planning and executing special fundraising events.
    • Serve as a contact for event vendors and help track event budget with Development team by organizing contracts and receipts.
    • Participate in event committee meetings and provide support in guest list tracking, décor, event management and event marketing.
    • Ensure event guests and donations are entered and tracked accurately in Salesforce.
  • Alumni Group Coordination
    • Work closely with Development manager to establish KCYA’s alumni group.
    • After initial group implementation and recruitment, convene alumni group meetings and support alumni group in planning small events.
    • Increase public awareness of KCYA’s impact among alumni and help give alumni tools to share organization’s mission.
  • Marketing and Social Media
    • Assist Development Manager in sending email communications to donors.
    • Maintain organization-wide email lists.
    • Implement organization wide social media presence by scheduling and managing social media content.
    • Attend weekly marketing meetings and work across teams to support brand consistency, create social media campaigns, and help manage social media calendar.
    • Support all KCYA teams in implementing social media campaigns to meet program goals.
  • Office Administration
    • Attend and take minutes for monthly KCYA board meetings.
    • Return accurate minutes to Executive Director per deadline. 
    • Assist Executive Director in other Board tasks as requested such as tracking board attendance, creating board manuals, etc. 
    • Assist in general administrative tasks such as data entry, filing, and shared file organization.
  • Attend weekly staff meetings.
  • Provide occasional support to Executive Director and other KCYA teams.
  • Other duties as assigned.

Minimum Qualifications:
  • Exceptional verbal and written communication skills
  • Strong computer proficiency and experience with Microsoft Office tools
  • Excellent organizational and multitasking abilities
  • Ability to manage multiple projects at a time with competing deadlines
  • Responsible and responsive; ability to adjust quickly as priorities evolve  
Preferred Qualifications:
  • Prior experience working in a nonprofit environment
  • A bachelor’s degree in communications, marketing, non-profit management, liberal arts, or a related field
  • Experience with data entry and working with donor CRM systems (Salesforce preferred)

Salary: $25 per hour, full-time ($52,000 per year)
