Volunteer Coordinator

This is a full time position working mostly Monday-Friday. Occasionally this position will be required to work special events that may fall on an evening or weekend. The primary responsibilities of this role include cultivating relationships in the community to grow our volunteer base and coordinate in-kind giving on behalf of the organization. Responsible for recruiting, interviewing, training, scheduling, delegating, managing and overseeing all volunteer activities that occur on behalf of the organization. Maintain a consistent schedule of volunteers for ongoing tasks, manage staffing for Growing Futures events and maintain a calendar of networking opportunities to engage with new volunteer prospects. Responsible for tracking and managing volunteer hours and entering them into the database, surveying volunteers annually and supporting community outreach activities. Maintain an up-to-date list of needed supplies for the center, collecting and storing in-kind donations after being inventoried and determining values from donors. Work closely with Marketing & Events Coordinator to create collateral and advertisements for our monthly needs and assisting with volunteers needed to participate at events. 

Essential Duties and Responsibilities:

  • Responsible for managing and supervising both corporate and individual engagement volunteer opportunities.
  • Must be able to effectively communicate the organization’s mission with volunteers and provide frequent updates to for board reports.
  • Implement a volunteer management system to meet the needs of the agency.
  • Conduct pre-project planning, day of project management and post project follow-up.
  • Build relationships with and serve as a liaison between education staff and volunteers.
  • Maintain an up-to-date list of program needs and respond to community inquiries promptly.
  • Collect appropriate paperwork from new volunteers for background checks.
  • Ensuring all volunteers have signed volunteer waivers prior to activities.
  • Maintain an ongoing list of service projects for volunteers.
  • Monitor and evaluate the efficiency and effectiveness of volunteer services.
  • Ensure all volunteers meet Agency Policy, KDHE licensing regulations, and Head Start Program Performance Standards.
  • Orient volunteers according to their placement and maintain regular communication.
  • Manage volunteer project supply ordering and inventory.
  • Implement system for volunteer recognition and acknowledgement.
  • Work with Director of Development to cultivate volunteers into potential donors.
  • Work with Marketing & Events Associate to develop marketing strategies to attract volunteers and in-kind donations.
  • Contact businesses and other community organizations for the purpose of securing donated items and/or services.
  • Coordinate in-kind donations received for the agency, including internal coordination of inventory/tracking and keeping staff informed of available items.
  • Staff evening and weekend development events occasionally when needed.
  • Assist with special projects and development activities.
  • Regularly attend opportunities for networking with volunteers and community members to identify and cultivate prospects for additional program support.
  • Provide regular communication to Development Director and applicable staff to provide awareness of developing and/or potential relationships.
  • Participate in Board Fund Development Committee meetings and collaborate with committee members as needed to further volunteer/in-kind donation recruitment efforts.
 
Knowledge and Critical Skills/Expertise:
  • Bachelor’s degree or equivalent combination of formal education and experience in fundraising, volunteer management, and/or relevant areas.
  • At least 1 year of experience managing volunteers and/or working in nonprofit development and/or fundraising.
  • Possess skills in leadership, organization, networking, management, as well as solid decision-making skills.
  • Strong computer skills to maintain the volunteer database, create reports, etc.
  • Self-Management, critical thinking, adaptability, relationship management.
  • Possesses the capacity to maintain a balanced approach to stressful conditions.
Communication Skills:
  • Must be able to regularly interact and provide accurate written and verbal information to staff, Board and community members.
  • Strong communication and public speaking skills.
  • Personable nature that allows this role to engage in meaningful communication with prospective volunteers.
Environmental Conditions:
  • The person in this position regularly attends off-site community engagements. Occasional exposure to extreme weather may occur.
Physical Demands:
  • Must be able to remain in a stationary position for two or more hours; move between Growing Futures locations. 
  • Frequently operates a computer and other office machinery.
  • Frequent local travel for presentations and donation coordination. Valid driver’s license and reliable transportation required.
  • Must be able to frequently collect, move and store in-kind donations and/or other items, up to 50 lbs.
  • Must be able to participate in the tasks that volunteers are asked to do.

  • Attend mandatory in-service trainings and agency meetings.
  • Maintain and ensure confidentiality and privacy of Growing Futures children and families.
  • Uphold management decisions in word and action.
  • All Growing Futures employees are mandated reporters for suspicion of child abuse and neglect.
  • Set-up tables and chairs in meeting room as needs arise.
  • Other duties as assigned.

Salary Range: $30,000 - 49,999
