UCOP is seeking an organized, creative, and resourceful professional to join our team. Full-time is preferred at 35–40 hours per week; a reduced schedule may be considered for an exceptional candidate. Regular Sunday hours are required. Compensation is $20/hour plus up to $1,000/month in health and wellness reimbursement for full-time employees, representing a potential annual package valued at $48,400–$53,600. Paid vacation and holidays are available after 90 days. The position opens Oct. 15, 2026, with a target start date of Nov. 1, 2026.

Key Responsibilities

1. Ministry Events & Programs
  • Coordinate UCOP ministry events, classes, workshops, and community gatherings in collaboration with ministerial staff and program leaders.
  • Organize event timelines, room arrangements, décor, hospitality, supplies, registration, and personnel; provide support during events and coordinate setup and breakdown.
  • Prepare sign-up sheets, flyers, and promotional communications; coordinate timely event information for church communication channels in collaboration with the Social Media/Website Manager.
  • Manage enrollment, participant rosters, and event records in Breeze; communicate details to participants and volunteers.
  • Coordinate shared space and equipment needs with The Fillmore KC Events Manager. This position focuses on UCOP ministry activities; the Events Manager oversees external events and the event-space business.
     
2. Volunteer Coordination
  • Coordinate approximately 30-40 active volunteers each month.
  • Identify coverage needs, arrange support and training, and help volunteers feel appreciated and connected.
  • Recruit, welcome, orient, and schedule volunteers for all ministry events, including Sunday services in collaboration with staff. Train and support livestream and Sunday PowerPoint volunteers.
 



3. Sunday Services & Communications
  • Provide dependable Sunday support, helping prepare ministry spaces, coordinate volunteers, and respond to practical needs before, during, and after services.
  • Prepare and distribute weekly Orders of Service and platform announcements in print and by email; upload service media and documents to appropriate digital folders.
  • Maintain the church calendar in Outlook and coordinate website calendar updates with the Social Media/Website Manager.
  • Provide timely content and copyedit the weekly newsletter in collaboration with our Social Media/Website Manager, who assembles and distributes it.
     
4. Congregational & Visitor Administration
  • Maintain the Master Attendance document for Sunday services and track first-time visitors, forwarding contact information to designated staff or ministry leaders for follow-up.
  • Create and maintain name tags and keep database records (Breeze profiles and tags) current.
  • Handle personal information with discretion and provide a welcoming, responsive point of contact for congregants and visitors.
     
5. Office & Digital Administration
  • Manage general voicemail messages, mail, office files, and records; prepare non-financial reports and assist with periodic projects.
  • Schedule and support Zoom meetings for staff, groups, and ministry events.
  • Update ministry training materials, including Prayer Chaplain manuals, and track monthly statistics as assigned.
  • Work cooperatively with the ministerial team and volunteers, participate in weekly staff meetings, and communicate priorities and progress.
     
6. Supplies, Facilities & General Support
  • Order and track materials for Youth and Family Ministry, adult education, workshops, and services; maintain office, hospitality, and event supplies.
  • Manage Plexpod room reservations and entry-fob inventory.
  • Run necessary errands, including storage visits, supply runs, and food pickups.
  • Help move tables, chairs, supplies, and equipment for ministry activities and restore spaces after use.
 
Compensation & Benefits
  • $20 per hour with a generous benefits package for full-time employees, including up to $1,000 per month in health and wellness reimbursement.

Qualifications

  • High school diploma required; business school or college coursework preferred.
  • Two or more years of experience in event coordination, nonprofit or church administration, volunteer coordination, hospitality, office administration, or a related field.
  • Strong organizational skills, attention to detail, and clear oral and written communication.
  • Proficiency with Microsoft Office, databases, and email platforms; ability to learn and use Breeze, Zoom, and website tools. Basic livestream and A/V knowledge preferred; training is available for the right candidate.
  • Ability to work independently, prioritize competing needs, exercise sound judgment, and follow through reliably.
  • A collaborative approach, flexibility, integrity, and comfort working with diverse personalities in a progressive and inclusive spiritual community.
  • Ability to remain calm and grounded while managing multiple tasks and shifting responsibilities.
 

Schedule & Physical Requirements

Approximately 35–40 hours per week, generally Tuesday through Friday and Sunday, with flexibility according to ministry needs. Regular Sunday hours and weekly staff meetings are required; some events may require evening hours. The role includes occasional setup and breakdown, moving furniture and equipment, and lifting up to 50 lbs, with reasonable accommodation as needed.
