Museum Accountant (Part-Time)
Position: Museum Accountant
Department: Finance
Reports to: Executive Director
Category: Part-time; Non-Exempt
Schedule: Approximately 20 hours a week
Salary: $20 per hour
Job Description:
The American Jazz Museum in Kansas City is looking for a dynamic, creative, and energetic professional to join our non-profit museum staff.
The Museum Accountant position is responsible for supporting the financial operations of the museum. Duties include preparing monthly financial statements for AJM staff and Board and other areas as they arise, assisting staff members with accounting inquiries, and supporting research grants & contracts. Work includes report and account reconciliations, journal entries preparation, accounts payable and receivable review, paying bills, and processing checks. S/he may also work on various special projects to keep the Museum moving forward.
Daily Duties and Responsibilities:
- Processes and enters invoices and payments into financial software.
- Responds to vendor inquiries and reconciles vendor statements, research, and corrects discrepancies.
- Maintains files and documentation in an organized digital manner, in accordance with company policy.
- Accounts Receivable function
- Prepare and deposit checks and cash receipts timely and accurately.
- Enter sales figures into financial software.
- General Accounting function
- Assists with monthly and annual journal entries and reconciliations for the monthly close.
- Assists in daily, monthly, and yearly reporting needs.
- Maintains accounting controls by preparing and recommending policies and procedures while ensuring compliance with GAAP.
- Collaborates with the Development department regarding database management and other special projects.
- Order supplies as needed.
- Assists as a backup for the museum store cashier.
- Contribute to department and organization special projects as assigned.

- Adheres to all safety policies and reports injuries.
- Makes a good appearance, positive attitude, and has the ability to deal tactfully and effectively with the public.
- Demonstrates flexible and efficient time management and ability to prioritize workload.
- Self-starter; handles self with minimal supervision and is proactive
Qualifications and Requirements:
- A Bachelor’s degree in Accounting preferred or equivalent working experience in accounting and Human Resources.
- A minimum of two years’ professional experience in Accounting and Finance is required, ideally in museums or other non-profit organizations.
- Proficiency with Microsoft Office products is required.
- Experience with QuickBooks, Shopify, and Bill.com is a plus.
- Excellent interpersonal and communication skills, including experience with and comfort in interacting with the public.
- Must be highly detail-oriented with strong organization, time management, and project management skills, including the ability to juggle multiple projects and deadlines
- Willingness to work non-traditional hours, think independently, and take initiative.
- Extensive cash handling and customer service experience is preferred.
