Marketing and Events Coordinator

Classification:  Exempt, Full-Time (30 hours/week) 
Work Location:  Gift of Life office, 6405 Metcalf Ave., Cloverleaf #3, Suite 109, Overland Park, KS 66202
Salary range:  $40,000 - $45,000, plus benefits and generous PTO
 
About Gift of Life: Gift of Life promotes the success of organ, eye, and tissue donation through education, mentoring and collaboration with partners and individuals in the transplant community. We achieve our mission through two signature programs:
Life Savers is a high school classroom education program empowering students to make informed decisions.
Transplant Mentors pairs trained volunteer mentors with transplant patients, living donors and caregivers to provide insight, information, encouragement, and support throughout the transplant journey.

POSITION SUMMARY   

We are seeking a highly motivated and detail-oriented Marketing and Events Coordinator to support organization-wide marketing and execute mission-advancing events. This role manages day-to-day content, campaigns, and event logistics; collaborates across teams; and ensures brand consistency and high-quality execution. This exempt, 30-hour/week position follows a predictable weekly schedule with occasional evenings/weekends for events. The ideal teammate is a proactive project manager who can balance creativity with excellent follow-through in a collaborative, mission-driven environment. This role plays a pivotal part in advancing lifesaving education, strengthening community engagement, and supporting families impacted by transplantation.

KEY RESPONSIBILITIES 

Marketing Campaigns and Communication 
  • Plan and execute campaigns that promote programs, fundraising initiatives, and events aligned to organizational goals and brand standards.
  • Own the editorial calendar across email, social media (Facebook, Instagram, LinkedIn), website, and resource library; draft, proof, and publish content.
  • Coordinate creative production (flyers, brochures, direct mail, promotional videos, presentations).
  • Maintain the website currently in partnership with an external web contractor; ensure content is accurate, current, accessible, and on brand.
  • Report on performance (email, social, web, campaign KPIs); recommend optimizations and test-and-learn approaches to improve reach and engagement.
  • Prepare organizational materials including quarterly Board reports and the annual Impact Report (content collection, layout coordination, and delivery).
  • Support brand governance by applying consistent voice, message accuracy, and visual identity across channels.
Event Coordination and Execution
  • Coordinate three annual fundraising eventsTrivia Night (Jan.31, 2026), GoSeeDo (May 2, 2026), Golf Fore Life (Sept. 25, 2026) and organize community outreach, patron and volunteer events.
  • Lead logistics end-to-end, ensuring timelines, vendors, volunteers, and event-day execution are managed seamlessly. 
  • Manage event marketing plans: list-building, invitations, email and social promotion, web pages, and sponsor recognition deliverables.
  • Use event management platform (OneCause) to coordinate ticketing and registration; auction and bidding; donations and payments; event day operations; data and analytics.
  • Recruit, train and support volunteers for set-up, registration, and guest services; steward a positive, mission-forward guest experience.
  • Conduct post-event wrap-ups: thank-yous, revenue/expense reconciliation, data capture, KPI reporting, and lessons-learned debriefs 
Data, technology and administration
  • Support accurate data collection, entry, tracking and reporting for program and event activities in coordination with staff (Salesforce or similar CRM desirable) 
  • Administer program-specific technology and coordinate user access as needed
  • Support data and technology improvements as Gift of Life undertakes planned capacity-building enhancements in 2026, including documentation, testing, training support and coordination.
  • Provide general administrative support, including correspondence, record-keeping and materials management 
Stakeholder Engagement
  • Serve as an organizational representative at events and networking opportunities to build awareness and advance relationships
  • Maintain positive relationships with sponsors, vendors, community partners and volunteers to support participation and organizational growth
 

QUALIFICATIONS

  • Education and Experience: Bachelor’s degree in marketing, communications or related field preferred. 3-5+ years of experience in marketing, event planning, or nonprofit management with a demonstrated ability to manage projects independently from planning through execution.
  • Technical Skills: Proficiency with Microsoft Office, social platforms (Facebook, Instagram, LinkedIn), and Canva (or similar). Experience with event management platforms (OneCause preferred), email marketing (Mailchimp) and basic video/editing tools a plus. Experience with CRM/databases (Salesforce or similar) and website content management (editing and publishing) desirable.  Comfortable with analytics dashboards and translating insights into clear recommendations.
  • Core Competencies: Exceptional written and verbal communication, attention to detail and project management skills.  Collaborative, solutions-focused, and customer-service oriented; demonstrates initiative and reliable follow-through. Strong organization with the ability to manage multiple priorities and deadlines while maintaining orderly records and appropriate confidentiality. Creative thinker with a passion for community impact and equity.
  • Other Requirements: Availability for occasional evening or weekend events. Ability to occasionally move materials up to 40 lbs., with or without reasonable accommodation.

  • Office-based with flexibility for pre-approved remote work to meet organizational priorities.

COMPENSATION and BENEFITS  

  • Compensation:  $40,000 - $45,000 annually for 30-hour/week full-time exempt position, plus benefits. 
  • Time Off: 10 vacation days and 5 personal days annually. Paid time off for all federal holidays, plus the Friday after Thanksgiving, two weeks during the Christmas/New Year period, and the employee’s birthday
  • Benefits: Qualified Small Employer Health Reimbursement Account (QSEHRA) up to $5,050 per year. Long Term Disability Insurance. SIMPLE IRA with 3% employer match (eligibility after one year of service).
