Director of Operations
Title: Director of Operations
Reports To: Executive Director
Work Location: Gift of Life, 6405 Metcalf Ave., Cloverleaf #3, Suite 109, Overland Park, KS 66202
Compensation: $55,000 - $59,000 annually for 30-hour/week, full-time exempt position, plus benefits and generous PTO
Gift of Life promotes the success of organ, eye, and tissue donation through education, mentoring and collaboration with partners and individuals in the transplant community. We achieve our mission through two signature programs:
- Life Savers is a high school education program empowering students to make informed decisions.
- Transplant Mentors pairs trained volunteer mentors with transplant patients, living donors and caregivers to provide insight, information, encouragement, and support throughout the transplant journey.
POSITION SUMMARY
The Director of Operations works closely with the Executive Director and plays a critical role overseeing the operations of the organization, including finances, human resources, technology, record-keeping, risk management, administration, and programs. This position directs, manages, and implements financial and administrative processes including financial analysis, organization record-keeping, risk management, and associated administrative functions. They ensure that funds, facilities, equipment, and operational systems are maintained in good order and utilized in a proper, legally compliant, and ethical manner. The position works independently to manage finance and office administration and works collaboratively with other team members and volunteers to support key events.KEY RESPONSIBILITIES
Financial Management- Provide oversight for daily, weekly, and monthly bookkeeping in partnership with the external accountant
- Make regular bank deposits, review and approve payables up to $3K, and balance all financial accounts
- Collaborate with the Executive Director and Board Treasurer on financial analysis, reporting, and budgeting
- Oversee Community Partner financial contributions, tracking, and billing and calculate and provide accurate year-end tax deduction information
- Work with Executive Director and external auditors to provide supporting documents for the annual audit and other accounting requirements
- Perform monthly payroll and benefits administration
- Maintain employee benefit systems and contracts, including adding/removing employees
- Ensure organization, board, and personnel insurance policies remain current
- Ensure the accuracy of the Salesforce database including financial entry and supporting other team members with reporting and problem solving as needed
- Collaborate with other team members to ensure fundraising mailing lists are comprehensive and accurate
- Ensure lists, campaigns, and committees are created and maintained as needed to support programs, events, fundraising and other tracking needs
- Support other staff to ensure they are maintaining program, volunteer, and contact data
- Follow the organization’s retention policy for record-keeping, including maintaining physical and electronic records as needed
- Ensure the day-to-day operations of the office run smoothly and are well-documented
- Work with the team to support GOL events
- Manage event budgets while supporting logistics execution
- Manage invoices and oversee the processing of sponsorships, donations, and payments to maintain accuracy and efficiency.
QUALIFICATIONS
- Bachelor’s degree or equivalent
- 5+ years demonstrated success in relevant work environment, including financial management experience
- Proficiency with technology, including working knowledge of personal computer, Zoom, Microsoft Office Suite, and experience with Salesforce or another database program
- Strong communication skills, reliable attendance and an ability to create processes and prioritize tasks
- Detail-oriented with strong and proactive follow-up skills, excellent organizational skills, and ability to work with multiple projects, priorities, and deadlines while keeping orderly records
- Flexible schedule, including availability for occasional evening or weekend events

- Office-based with flexibility for pre-approved remote work to meet organizational priorities.

COMPENSATION and BENEFITS
- Compensation: $55,000 - $59,000 annually for 30-hour/week full-time exempt position
- Time Off: 10 vacation days and 5 personal days annually. Paid time off for all federal holidays, plus the Friday after Thanksgiving, two weeks during the Christmas/New Year period, and the employee’s birthday
- Benefits: Qualified Small Employer Health Reimbursement Account (QSEHRA) up to $5,050 per year. Long Term Disability Insurance. SIMPLE IRA with 3% employer match (eligibility after one year of service).
