Position Description

TITLE:         Operations Coordinator         

CLASSIFICATION:     Full Time, exempt    

REPORTS TO:     COO                 

START DATE:     October 2025        

SALARY RANGE:     $53,000 - $63,000    

We use broad salary bands based on the 50th-75th percentile for similar roles in the Kansas City nonprofit market, aiming to position compensation at the 65th percentile. Salary offers are determined through external and internal benchmarking, considering individual experience.

BACKGROUND: 

The Educator Academy was founded in 2016 to make an equitable education system a reality for all students. To do that, we focus on teachers. We focus on teachers because we know that teacher quality has the greatest impact on student success. We work towards our vision by preparing new teachers, retaining teachers, and developing instructional leaders. Our work manifests in a variety of ways, from our teacher certification pathways including the teacher residency and teacher fellowship programs, to our annual conference The Summit, to individualized development for school partners. All the work we do is in aim of improving the educational outcomes of students by supporting the teachers in local classrooms. 


ROLE SUMMARY

The Operations Coordinator supports the smooth functioning of Educator Academy’s operations by keeping organizational systems, facilities, technology, and logistics running reliably. This role maintains simple, accessible processes that staff can use independently, supports program teams with tools to manage logistics effectively, and coordinates with vendors and others to resolve issues. The Operations Coordinator plays a key role in making day-to-day operations clear, consistent, and dependable so staff can focus on delivering high-quality programming.


ESSENTIAL FUNCTIONS

Facilities & Office Operations

  • Oversee daily office operations and space readiness, addressing issues through walkthroughs and vendor coordination.

  • Monitor and manage office/program supplies, equipment, and common spaces to ensure availability and functionality.

  • Coordinate building access, security, and parking, including special event needs.

  • Serve as the main contact for building management and vendors, tracking requests and escalating when needed.

  • Keep facilities information up to date and assist with small office setups or space changes so staff and programs can work smoothly without interruption.

 

Org Wide Process Coordination

  • Maintain shared folders, templates, SOPs, and guides so resources are organized, current, and easy to use.

  • Manage the operations request workflow, routing and tracking requests through completion and identifying trends or bottlenecks.

  • Coordinate internal communications and keep routine process guides up to date to ensure staff stay informed and can follow procedures without extra support. 

  • Perform other operations-related duties as assigned to support the overall effectiveness of the team and organization.

 

Program Operations Enablement 

  • Maintain the systems that support program operations, monitoring use and suggesting improvements when needed.

  • Maintain clear, consistent tools and resources (checklists, templates, request forms, quick-start guides) to support program logistics.

  • Support with trainings that build program staff skills and habits for smooth, disruption-free logistics.

  • Coordinate shared logistics resources (calendars, gear sign-outs, event materials) and align purchases/facilities requests with programming timelines to reduce last-minute issues.

  • Keep program logistics documents organized, up to date, and easy for staff to access and apply consistently.

  • Support organization-wide events by coordinating shared resources and vendor/IT support to ensure session-level logistics run smoothly.

 

Technology 

  • Coordinate with EA’s IT provider to route support requests, track them to completion.

  • Maintain an accurate inventory of technology equipment (laptops, AV, peripherals), including assignments and condition.

  • Assist with the set up and removal of staff access to tools (Zoom, Google Workspace, listservs) to keep accounts accurate and secure.

  • Track equipment needs and purchases, ensuring alignment with finance policies and proper documentation.

  • Monitor recurring technology issues and escalate systemic challenges or security concerns (e.g., lost/stolen devices) to leadership and the IT provider.

ROLE QUALIFICATIONS:

Minimum 

  • Associate's degree with 2+ years of experience in operations, administration, or a similar coordination role.

  • Strong organization, follow-through, and prioritization, including tracking requests to completion across teams and vendors.

  • Proven ability to manage processes/SOPs and maintain organized records/resources (e.g., shared folders, templates, inventories).

  • Proficiency with common office technology (e.g., Google Workspace, Zoom) and the ability to learn new tools quickly.

  • Clear, timely written and verbal communication.

  • Service-oriented and mission-aligned, exercising sound judgment and confidentiality when handling sensitive information.
     

Preferred 

  • Bachelor’s degree in business administration, office administration, or related field with minimum of 4 years experience.

  • Experience coordinating facilities/office operations in a nonprofit or school setting.

 

 

WORK ENVIRONMENT 

The Educator Academy staff works in a collaborative working environment at our main office in the Crossroads neighborhood of downtown Kansas City. While our instructional courses and other programming are often at the office, other work takes place at our partner school sites or remotely from home. To encourage a balanced approach to work, our staff embraces a hybrid environment. The amount of time in the office vs. at home varies depending on the role, time of year, and workflow. For this role, you can expect to typically spend three days on site. 

 

WORK LOAD

The Educator Academy we prioritize a 40-hour work week across a Monday to Friday schedule for full time employees. There are events and requirements outside of normal business hours that averages around ~6x per year per staff member, with variance depending on the role. The physical demands of the job, including bending, sitting, lifting and driving.


TRAVEL

This role requires reliable transportation and occasional willingness to travel.
