Flight Coordinator

Organizational Review: Angel Flight Central, Inc. is a 501©3 non-profit organization in its 31st year of arranging free, long-distance air-transportation for health care and other humanitarian purposes within a 10-State region utilizing hundreds of compassionate, and very skilled, volunteer pilots and grant funded commercial vouchers. AFC is headquartered at the Kansas City Downtown Airport by a small staff of five. 
 
Essential Functions
The position exists to screen external inquiries for charitable air transportation, accurately document passenger needs, set up flights, match approved passengers with volunteer pilots or available charitable transportation resources, coordinate with internal and external resources and respond to challenges expediently while ensuring safety and implementing best practices to support the Flight Coordination aspects of Angel Flight Central [AFC]. With a small in-office team, opportunities to participate in events, program support, operations, volunteer recruitment and more exist based on experience and desire.
 
Communication

  • Be a concerned, active and effective listener and responder to all constituents through phone, email, online entry, instant messaging and face-to-face communications.
    • Review transportation services and answer general questions about AFC to those inquiring.
    • Redirect callers, who do not qualify, to other means of assistance.
    • Communicate effectively with all constituents including passengers, pilots, volunteers, requesters and donors.
    • Screen, qualify and enter transportation requests including verification of medical approval to fly and updates of all information for repeat requests.
    • Timely response to and prioritization of callers during AFC business hours.
 
 
Documentation
  • Timely and accurate data transfer and entry into the coordination system database from all parties and sources (i.e., online transmissions, verbal instructions, written emails, etc.)
  • Accurate set-up of AFC missions and flight planning including appropriate routing of linking flights and assignment of appropriate external resources to flight legs.
  • Timely instruction and documentation of passenger liability releases from passengers and pilots.
  • Timely instruction and documentation of passenger medical releases and appointment verification.
  • Timely recording of audit information required for grants or legal requirements for use of donor funds.
  • Ensure timeliness, accuracy, and tracking of Mission Reports with the monthly and annual statistical reporting.
 
Flight Coordination
  • Timely tracking of requests for assistance and fulfillment of mission coordination.
  • Timely coordination and modification of AFC flights and communication of changes.
  • Appropriate and encouraging communication with all AFC volunteers.
  • Responsible for the Flight Coordination after-hours phone for a minimum of one week per month. Pager pay is $50 per weeknight and $100 per weekend day and holiday with minimal interruptions.
  • Develop, implement, and manage all mission-related programs, including but not limited to; special needs camps and disaster relief response.
 
AFC Staff member
  • Daily attendance is essential in the performance of this position.
  • Mandatory attendance at fundraising events – Wine Flight, BLVD Pints for Passengers, Challenge Air, etc.
    • Maintain positive working relationships with staff, volunteers, requestors, passengers, pilots, personnel from other charitable aviation organizations and all other AFC stakeholders.
    • Assist with training, oversight and assessment of Flight Coordination and Pilot Volunteer activities and assignments.
    • Be a contributing member of the AFC staff in meetings and written communications.
    • Contribute to the growth of AFC by participating in planning, development, outreach and fund raising activities, as requested, to support the mission of AFC and the sustainability of the organization.
    • Assume additional responsibilities as mutually agreed upon with the CEO/ED.
 
Minimum
Qualifications: Proficiency in telephone communications and customer service to many types of people. Ability to prioritize and multi-task. Accuracy in data entry. Thorough and complete documentation. Proficiency in Outlook, WORD, Excel, Adobe Acrobat and online database systems.  
 
Preferred
Qualifications: Interest in aviation and strong social skills. Experience and interest in communicating with disadvantaged people on the phone. Bachelor’s degree in a related field and equivalent work experience preferred.
 
Schedule:       Full Time: Mon – Fri; 8:00am – 4:30pm
 
Salary and
Benefits:         Starting salary of $52,000 based on 5-day (40 hour) work week with benefits to include health, dental, vision insurance, and life insurance. Ten paid holidays, seven personal days, and ten days of vacation time. Pager pay is in addition to this.
