Position Summary:

The Intake Coordinator and Aging Operations Scheduler facilitates intake coordination, connecting prospective clients to JFS services and community resources. This position will work collaboratively with JFS programs and staff to provide quality information and referrals to callers about JFS and community services and provide support for team members serving in the community. Additionally, this position works closely with Aging Support programs (transportation and home maintenance) by providing prompt scheduling services, ensuring participants have timely access to crucial supports that allow them to age in community.

Essential Duties:

  • Answer incoming calls and effectively respond to callers to connect them with the services they need.

  • Serve as primary intake coordinator, assessing the needs of callers to determine eligibility and appropriateness for JFS services.

  • Connect callers to appropriate community resources when ineligible for JFS services.

  • Collect consistent demographic information from callers and input into client management database.

  • Remain updated on JFS service offerings, eligibility, and availability.

  • Schedule and manage appointments for both Help@Home (home maintenance) and JET Express (transportation) programs under the oversight of the Aging Operations Manager.

  • Communicate any changes in home maintenance of transportation appointments with clients.

  • Accurately input data into client management database and scheduling platforms to provide staff with referral information that is accurate, appropriate and confidential.

  • Ensure courteous, prompt, and accurate responses to caller inquiries and requests and work within an internal triage system to prioritize calls based on urgency and program availability.

  • Update online listings and external referral sources in the community for JFS Services.

  • Maintain accurate information internally at JFS for programs about referrals and partners. 

 Essential Education, Knowledge and Experience:

  • Two or more years of experience in non-profit social services, including client intake and assessment

  • Bachelor's degree preferred

  • Experience in a customer service setting preferred, with the ability to empathetically understand client needs and respond accordingly

  • Strong written and verbal communication skills and ability to work supportively and collaboratively with program staff and management.

  • Excellent attention to detail and high level of accuracy related to data entry

  • Ability to independently manage and prioritize tasks and projects

  • Demonstrated experience and proficiency with the following information technology: client management systems, scheduling platforms, phone systems

  • Bilingual preferred.

Salary Range: $40,000 to $45,000
