Reception Coordinator
Primary Responsibilities:
- Greet visitors, create comfortable, safe and clean waiting room environment, monitor visitors in waiting area
- Supervise children in the waiting area as needed who may have special needs or who may require close monitoring, emotional comfort, etc.
- Answer telephone; screen and direct calls; schedule appointments, notify referring agencies of appointments, take messages and provide information; answer questions.
- Enter and update data into the computer; generate various lists, letters and/or reports from the computer.
- Prepare files, compile packets, and close out cases.
- Maintain filing system; perform photocopying; open and distribute mail; maintain and order office supplies; prepare and maintain various logs and reports; and perform related duties.
- Type reports, letters, memos, correspondence, forms, etc. on the computer.
- Serve as a back up to the Intake Coordinator position by coordinating and scheduling appointments for forensic interviews.
- Provide administrative and service delivery duties that support and enhance program services.
- Maintain and update referral information and agency handouts.
- Assist with tracking multidisciplinary team member statistics and client demographic information.
- Assist with the collection of case tracking duties from partner agency professionals and updating client records as new or more accurate information becomes available.
- Send appointment reminder letters and/or text messages.
- Assist with requests for CPC records.
- Serve as a notary public for CPC documents and records requests.
- Mail letters and packages.
- Communicate and schedule non-emergency building maintenance.
- Attend agency events and meetings as necessary and appropriate.
- Maintain fundraising event registration and payment for registering and tracking training participants.
- Participate in the on-call/after hour emergency interview rotation as front desk support
Hours: 7:30 am - 3:00 pm Monday - Friday
This position is not eligible for an alternative work schedule.
Qualifications:
Minimum of high school diploma or equivalent and one-year secretarial experience. Experience in child welfare setting preferred. Proficient in Microsoft Word, Access, and Excel. Knowledge in operation of copier machines; ability to work under pressure; ability to implement and maintain a categorical filing system; ability to interpret written and oral instructions; ability to work independently; excellent phone and grammar/proofreading skills. Due to the nature of this work, the individual in this position is a mandated reporter regarding child abuse.
Will respond quickly, appropriately, and effectively to crisis situations, function independently; maintain appropriate boundaries with child clients and their families, and work effectively with individuals from various economic, social and cultural backgrounds. The candidate should be comfortable with children. Ideal candidate will have childcare experience.
Competitive salary based on experience $40-$45
