VOLUNTEER COORDINATOR - BOARD OF DIRECTORS

Offer Valid: 11/03/2026 - 01/31/2027
KC Jazz ALIVE! is led by a board of volunteers and part-time contract staff. Directors do not only set policy — they also do the operational work of the organization. This position combines the duties of a board member with the coordination of volunteers.
POSITION SUMMARY
The Volunteer Coordinator is a volunteer, non-paid member of the Kansas City Jazz ALIVE! Board of Directors who holds the volunteer-engagement portfolio for the organization. As a member of a working board, this Director shares in the full governance and fiduciary responsibilities of the Board and personally carries out the hands-on work of building and sustaining the organization’s volunteer program — recruitment, onboarding, scheduling, recognition, and records. The role ensures that volunteers are matched to meaningful work and consistently appreciated, so that KC Jazz ALIVE! can deliver its mission and signature programming, including Spotlight: Charlie Parker.

BOARD & GOVERNANCE RESPONSIBILITIES
Shared by every Director:
  • Uphold the fiduciary duties of care, loyalty, and obedience, always acting in the best interest of the organization and its mission.
  • Attend and actively participate in board meetings and [committee] work.
  • Help set organizational direction, approve the budget, and monitor the health of the organization.
  • Serve as an ambassador and advocate for KC Jazz ALIVE! in the community.
  • Support fundraising and resource development — including sponsor cultivation and the annual Charlie Parker campaign — through personal participation and network outreach.
  • Maintain confidentiality and disclose any conflicts of interest in accordance with Board policy.
VOLUNTEER-COORDINATION PORTFOLIO
The specific work this Director leads and personally executes:
Recruitment & Placement
  • Develop and carry out strategies to recruit volunteers who reflect the Kansas City community the organization serves.
  • Match volunteers to roles based on skills, interests, and availability, and maintain clear role descriptions in partnership with the Board President and Governance Committee Chair-person.
  • Represent KC Jazz ALIVE! at community events and partner sites to build a volunteer pipeline.
Onboarding & Training
  • Manage volunteer intake, orientation, and role-specific preparation so volunteers are confident and ready.
  • Ensure volunteers understand event procedures, safety expectations, and organizational values.
Scheduling & Event Coordination
  • Build and maintain volunteer schedules for programs, walking jazz history tours, and signature events.
  • Serve as the day-of point of contact for volunteers, with particular focus on the annual Spotlight: Charlie Parker celebration.
  • Coordinate with fellow board members and contract staff to anticipate coverage needs and fill gaps.
Recognition, Retention & Records
  • Cultivate a welcoming, inclusive volunteer culture that keeps people returning season after season.
  • Lead volunteer appreciation and recognition efforts, and gather feedback to improve the experience.
  • Maintain accurate volunteer records and report volunteer hours, retention, and impact to the Board.
QUALIFICATIONS & ATTRIBUTES
  • Genuine enthusiasm for jazz and commitment to the mission of KC Jazz ALIVE! and the Kansas City music community.
  • Strong organizational skills and the ability to coordinate many people and moving parts, often on event timelines.
  • Warm, inclusive interpersonal and communication skills across diverse audiences.
  • Willingness to serve actively as a working-board member, including some evenings and weekends during events.
  • [Preferred] Prior experience in volunteer coordination, event support, board service, or community engagement.
BOARD MEMBER EXPECTATIONS
  • Prepare for and attend board meetings and organizational events.
  • Make a personally meaningful annual contribution and support the organization’s fundraising, in a form and at a level set by the Bylaws for each individual Director.
  • Adhere to the organization’s conflict-of-interest, confidentiality, and code-of-conduct policies.
  • Act at all times in the best interest of KC Jazz ALIVE! and its mission.
WHAT SUCCESS LOOKS LIKE (FIRST 6–12 MONTHS)
  • A documented, repeatable volunteer onboarding process is in place and in use.
  • Volunteer coverage for signature programming — especially Spotlight: Charlie Parker — is reliably met.
  • Volunteer retention and satisfaction measurements of success are in place.
  • The Board receives clear, regular reporting on volunteer engagement and impact.
This role is defined by the systems it builds, not only the shifts it fills: a strong volunteer program is what the organization’s structures, communication, and recognition make possible.
