Director of Sponsorship and Volunteer Engagement
As a volunteer for "The Bridger," you'll play a vital role in creating a welcoming, organized, and energetic environment for participants, spectators, and supporters. This is an exciting opportunity to contribute to a great cause, meet like-minded individuals, and enhance your event management and nonprofit experience.
Key responsibilities will include developing a sponsorship program with the support of the board, coordinating the fundraising event and overseeing the volunteer team. Responsibilities are outlined below. This is a volunteer position but based on the success of the event could include a stipend.
Sponsorship Program
Identifying Potential Sponsors:
- Conduct research to identify companies, organizations, and individuals who align with the fundraiser's mission and goals.
- Compile a list of potential sponsors with contact details and relevant information.
Creating Sponsorship Proposals:
- Develop persuasive and tailored sponsorship proposals that outline the benefits of partnering with the fundraiser.
- Highlight specific opportunities for brand visibility and community impact.
Building Relationships:
- Establish and maintain relationships with potential sponsors through networking, meetings, and regular communication.
- Attend events, conferences, and social gatherings to connect with potential sponsors and industry leaders.
Managing Sponsorship Campaigns:
- Oversee the implementation of sponsorship campaigns and ensure sponsors receive the agreed-upon benefits.
- Monitor and evaluate the success of sponsorship activities and provide regular updates to sponsors.
- Develop promotional materials and campaigns that highlight sponsor involvement.
- Ensure sponsors are prominently featured in all marketing efforts, including social media, press releases, and event materials.
Maintaining Records and Reports:
- Keep detailed records of sponsorship activities, including correspondence, agreements, and financial transactions.
- Prepare reports on the success and impact of sponsorship efforts for internal review and sponsor feedback.
Ensuring Sponsor Satisfaction:
- Regularly communicate with sponsors to address any concerns and ensure their expectations are met.
- Provide excellent customer service and foster long-term partnerships.
Event Day with volunteer & Board support (8-10 people)
- Event Setup and Breakdown: Assist with setting up cornhole boards, registration tables, signage, and other event infrastructure, as well as breaking down and packing up at the end of the event.
- Registration and Guest Assistance: Welcome participants, manage the check-in process, and provide information to attendees about the event schedule, rules, and location details.
- Game Support: Help organize and manage the cornhole games, ensuring smooth transitions between matches, keeping scores, and maintaining game equipment.
- Concessions and Merchandise: Support sales of food, drinks, and branded merchandise, while handling transactions and providing excellent customer service.
- Crowd Engagement: Help create a lively atmosphere by interacting with attendees, facilitating social media engagement, and encouraging fundraising efforts.
- Safety and Compliance: Ensure all event activities are in line with safety protocols and health guidelines, including crowd management and first-aid support if needed.
Required Qualifications:
- Commitment to Roots & Rounds’ Mission: A passion for bridging the wisdom and energy of all ages through improved intergenerational communications and leadership.
- Team-Oriented: Ability to work collaboratively with fellow volunteers and staff to ensure a smooth and successful event.
- Strong Communication Skills: Ability to engage with participants, provide clear information, and resolve issues in a friendly and professional manner.
- Physical Ability: This role may require standing for extended periods and some light lifting (setting up game equipment).
- Dependability: We are counting on volunteers to arrive on time, complete assigned tasks, and stay for the duration of their shift.
Preferred Qualifications (but not required):
- Previous experience volunteering at community or fundraising events.
- Knowledge of event management or hospitality.
- Familiarity with cornhole or other recreational sports.
- Basic first-aid or CPR certification (a plus but not necessary).
