Position Overview

The Office Manager executes essential bookkeeping tasks, serves as the entry point for visitors and vendors, and provides high-level administrative support to the Executive Director. 

Supervision Responsibilities

None. This position does not supervise staff but may oversee interns or volunteers as needed.

Education

Undergraduate degree preferred, preferably in business administration, communications, or a related field. High school diploma or equivalent accepted with significant relevant experience in office administration, project management, or nonprofit management.

Experience & Qualifications

A qualified candidate will have either educational background and/or career experience to make them a strong candidate.

Other Qualifications

Responsible. Detail oriented. Reliable. Task driven. Adept with technology and high proficiency in office computer skills. Ability to navigate a multi-building campus and lift 25 pounds. Valid driver’s license. Organizational and Staff Values fit. 

Salary & Benefits

This is a full-time, non-exempt position. The starting salary for the position is $42,945. Medical, vision, and dental benefits are available, with 80% of the monthly premiums paid by the employer. A retirement plan (403b) is available after 1,000 hours of work with a 3% match from the organization. First year employees receive 16 days of Paid Time Off. Additionally, Paid Holidays include the week of Spring Break, the week of the 4th of July, the week of Thanksgiving, and the week between Christmas and New Years, Martin Luther King, Jr. Day, President’s Day, Memorial Day, Juneteenth, and Labor Day. Friday is a virtual work day. There are additional digital nomad days, feminine health leave days, and emergency leave.



 

Section 1: Reception

  • Serve as the primary receptionist, receiving packages, mail, and visitors to campus.

  • When facility vendors are on campus, provide necessary access for their services.

 

Section 2: Clerical Work

  • Expenses:

    • Input and pay bills (as approved by the Executive Director), ensure they are designated accurately.

    • Collect necessary receipts from staff members to reconcile the financial accounts.

    • Prepare and send invoices.

    • Review expenses, questions, and tasks weekly from bookkeeping firm transactions.

    • Follow-up to provide the bookkeeping firm with answers on program allocations or other funds.

    • Answer questions as able from accounting regarding specific transactions, grants, donors, and funds. 

  • File Organization:

    • Scan, organize, and shred documents based on the Document Retention Policy.

  • Payroll:

    • Coordinate with staff supervisors to ensure payroll is prepared and accurate.

    • Process payroll approved by the Executive Director. 

  • Revenues:

    • Scan, save, and enter all cash, checks, and award letters into Bloomerang and Google Drive. Ensure they are categorized accurately.

    • Prepare bank deposits as approved by the Executive Director.

    • As directed, prepare annual donor receipts from Bloomerang.

    • As directed, prepare items for the Development Director for grant applications and reporting. 

  • Assist the contracted accountant as directed to gather items for the 990, audit, W2, and 1099s. 

 

Section 3: Scheduling & Meeting Preparation

  • Maintain the Executive Director’s schedule. 

  • Organize catering/food for Board meetings.

  • Ensure spaces are prepared for Board meetings. 

 

Section 4: Executive Support

  • Serve as a screener and gatekeeper for E.D.’s time.

  • Draft communications as requested. 

  • Other duties as assigned.
